Saint Michael's College Athletics Department is seeking a detail-oriented and highly organized administrative professional to support its day-to-day operations. This full-time, in-person position offers an hourly wage range of $20.50 to $23.75 and encompasses a wide array of responsibilities crucial to the smooth functioning of the department. The successful candidate will coordinate essential aspects such as team travel, hotel accommodations, athletic event planning, and special program execution to ensure a first-class experience for student-athletes and coaching staff. In this role, you will assist with budget tracking and financial reconciliation, managing and processing departmental purchase requisitions, payment requests, and cash advances.

The role demands collaboration with various campus partners, including dining services and residential life, to address meal needs, housing accommodations, and other logistical requirements tied to athletic programming. The candidate will also maintain accurate athletic databases, student-athlete records, and team portfolios while serving as a liaison between the Athletics Department and other campus offices and committees. Responsibilities extend to administrative tasks such as recording meeting minutes, ordering office supplies, providing telephone and reception support, and contributing to the organization of special events like the annual Block M Dinner.

Job Qualifications

  • Associate’s degree

  • reads and interprets documents such as operating instructions, procedure manuals, and college policies to guide own behavior
  • demonstrated ability to prepare or revise written reports or other documents
  • strong knowledge of Microsoft Office products

Job Duties

  • Completes and processes all department purchase requisitions, requests for payment, cash advances and account deposits
  • processes requests for payment
  • works with Athletic Director to prepare and plan for all intercollegiate athletic contests, soliciting input from coaches regarding meals and departure times
  • serves as the department liaison to campus dining service and orders all food and meal requests for intercollegiate teams
  • acts as a member of the Block M Dinner Committee and assists in the organization of the event
  • serves as a liaison for the Athletics Department with other campus offices and committees
  • processes game contracts for all contests
  • annually coordinates the fall pre-season notification and communicates with residential life regarding housing needs
  • records departmental meeting minutes and distributes to department members
  • orders office supplies
  • provides telephone and office reception
  • promotes an environment that values cultural, ethnic, gender, and other individual differences
