Job Requirements
- High school diploma or GED required
- 3-5 years of relevant administrative or receptionist experience
- Proficiency in Google Apps including Docs and Sheets
- Strong organizational and communication skills
- Experience with international mailing processes
- Ability to manage projects independently
- Skilled in Microsoft Word and PowerPoint or Google Docs and Google Slides
- Ability to work in Center City Philadelphia office 5 days a week
- Physical ability to lift up to 20 lbs
- Ability to operate basic office machinery such as printers
- Willingness to work extended periods sitting or standing
- Ability to spend long hours in front of a computer screen
Job Qualifications
- High school diploma or GED required
- Associate's Degree or equivalent preferred
- 3-5 years of experience as a receptionist, office administrator or related role
- Experience with Google Apps including Docs and Sheets
- Strong organizational skills with capability to improve and create administrative processes
- Experience with international mailing providers
- Ability to manage moderately complex projects independently
- Skilled in Microsoft Word/Google Docs and PowerPoint/Google Slides for creating professional documents and presentations
- Exceptional communication skills to interact with all levels of management
- Ability to perform job functions remotely when necessary
Job Duties
- Handle and accurately direct incoming calls while maintaining the visitor log
- Greet office visitors and function as the receptionist for a 70-person office
- Provide administrative assistance including calendar management, travel and expense processes, and presentation creation
- Prepare correspondence and mailings
- Support organization of team events, meetings, and internal surveys
- Assist with vendor management such as beverage and fruit vendors
- Serve as main contact with Building Management for employee access badges
- Monitor security camera for front desk area and review footage as needed
- Maintain supply inventory for the office
- Assist Human Resources with projects like employee mailings and file maintenance
- Serve as secondary contact to Facility Supervisor for property/building management issues
- Scan incoming mail to appropriate employees
- Function as an active member of the Site Safety Team
