The Business Office Assistant role at Moldaw Residences is a full-time position that offers a competitive pay range of $30 to $35 per hour. Working Monday through Friday, this position is ideal for someone who is detail-oriented, highly organized, and passionate about supporting a dynamic team. The role provides comprehensive administrative support to multiple departments including the Business Office, Sales and Marketing, and Executive teams, ensuring the smooth daily operations of the community. This cross-functional support helps maintain an efficient workplace that ultimately enhances resident satisfaction and occupancy.
In this role, the Business Office Assistant is responsible for managing and maintaining vital resident, prospect, and sales records using various business systems and databases. This includes preparing critical documentation such as admission and residency papers, assisting with financial tasks such as billing, accounts payable, and payroll review, and keeping organized files and records updated. Beyond administrative duties, the assistant plays a key role in supporting marketing activities by assisting with social media updates, event coordination, and communication with prospective residents.
The position also involves direct interaction with residents, their families, staff members, and vendors, offering front desk coverage and responding to inquiries to enhance community engagement and satisfaction. Additionally, supporting resident move-ins and maintaining accurate information in the CRM and business systems is part of daily responsibilities. The Business Office Assistant helps to foster a culture where business decisions and employee engagement are aligned to drive the overall success of the community and enrich the lives of its residents.

Job Requirements
- Associate's degree or higher
- Minimum two years of administrative support experience
- Experience in senior living preferred
- Proficiency with Microsoft Office Suite including Excel, Word, and Outlook
- Strong organizational, communication, and customer service skills
- Ability to manage multiple priorities, meet deadlines, and maintain confidentiality
- Experience with payroll, billing, accounts payable, or CRM systems preferred
Job Qualifications

- Minimum two years of administrative support experience

Job Duties
- Maintain resident, prospect, and sales records in various business systems and databases
- Prepare admission, residency, and other prospective resident documents
- Assist with resident billing, accounts payable, payroll review, and financial recordkeeping

- Assist with marketing activities, social media updates, events, and prospective resident communications
