The role of Administrative Specialist at ProSidian is a professional-grade position classified under Junior Administrative Assistant CL 101 and Administrative Clerk - Administrative/Business. This position supports the Environmental Management Sector clients and operates within an Engagement Team Cadre to meet Time and Materials (T&M) requirements. It entails providing comprehensive administrative, technical, and staff support services within the organizational unit. The role is crucial in supporting Technical General Support Services related to Environmental Consulting and Scientific and Technical Consulting Services, especially in the Energy sector.

Key responsibilities include assisting Work Control, Engineering, and field groups by preparing and assembling Preventive Maintenance Work Packages and facilitating their proper documentation through systems like the Document Control (EDWS). The Administrative Specialist gathers critical information, prepares detailed reports and presentations, and maintains records while projecting future trends and monitoring progress through field walk downs. They play a vital role in coordinating safety, health, financial, and operational activities, ensuring compliance with organizational procedures and delivering timely management updates. This position demands proficiency in computer skills, the ability to communicate effectively via email, and the aptitude to manage multiple priorities while meeting deadlines.

Candidates for this role must embody professionalism, exceptional organizational skills, and a commitment to ethical business conduct. The position typically adheres to a 40-hour workweek, with various flexible scheduling options available, including standard 8-hour days, 10-hour days, or other shift structures. The work is primarily conducted in an office building located near the Savannah River Site in Aiken, South Carolina. The role may occasionally require travel for meetings, site visits, or training, all coordinated through the contracting officer.

Job Requirements

  • U.S. citizenship required
  • Must pass SRR drug and alcohol screening with no previous drug or alcohol-related convictions
  • Five years practical experience in technical, business or administrative area
  • Proficient computer skills including Excel, Microsoft Word, Filemaker Pro
  • Ability to submit to and qualify for background investigative requirements up to Top Secret or DOE Q clearance
  • Ability to work a 40-hour week with various shift schedule options
  • Must be able to communicate via email
  • Must be eligible for Facility Access Authorization
  • May be required to complete a Financial Disclosure Statement

Job Qualifications

  • Consecutive employment in a comparable position within past five years
  • Proficiency in Microsoft Office Products including Word, Excel, and PowerPoint
  • Ability to handle multiple priorities while meeting deadlines
  • Strong oral and written communication skills
  • Ability to work through different levels of management to achieve desired results
  • College degree preferred
  • Experience with Asset Suite, Puridiom, PRT, and EDWS preferred

Job Duties

  • Provide assistance to Work Control, Engineering and other field groups to prepare and assemble simple Preventive Maintenance Work Packages
  • Prepare work packages for closure so they can be scanned into the Document Control (EDWS) system
  • Gather information, prepare special reports and presentations, maintain records, and project future trends including field walk downs
  • Generate and prepare reports to provide management with current status of activities
  • Recommend improvement elements to maintain scheduled activities and action items
  • Coordinate activities in support of safety, health, financial, and overall operations of the Organization
  • Review and answer correspondence
