Currently, Asden Management is seeking a diligent and highly organized Administrative Assistant to support the Property Manager overseeing approximately 750 residential units located in Little Havana, Florida. This is a full-time position that plays a critical role in ensuring the smooth operation of daily administrative and clerical functions within the property management team. The Administrative Assistant will serve as the first point of contact by greeting and assisting walk-ins, answering tenant inquiries, and efficiently managing communications over the phone. A core responsibility involves utilizing Yardi software proficiently to enter and ensure the timely completion of work orders, which is essential for maintaining the upkeep and satisfaction of the residential community.
Additionally, the Administrative Assistant will handle important documentation by filing paperwork accurately and ensuring all administrative tasks and paperwork are completed fully and on schedule. The role also includes practical on-site duties such as walking vacant units to take photographs for leasing purposes and managing the receipt and distribution of incoming mail to the Property Manager daily. Rent collection and processing rent payments are other vital aspects of this job, requiring accuracy and attention to detail.
Candidates must possess at least three years of administrative experience, ideally including time spent in a property management setting. Proficiency in Yardi software is highly valued, alongside strong organizational and communication skills. Being bilingual in English and Spanish is essential to effectively serve the diverse tenant population in Little Havana. Applicants should also be comfortable multitasking in a fast-paced, customer-focused environment and have working knowledge of Microsoft Word, Excel, and Outlook.

Job Duties
- Greet and direct/assist all walk-ins
- answer main phone line, including responding to tenant inquiries and transferring phone calls to appropriate dept
- enter and ensure all work orders are complete in Yardi
- file paperwork in their appropriate files
- collect resident rent and give to each portfolio
- walk vacant units and take photos
- receive and distribute incoming mail to Property Manager daily
- bring mail to Post Office as needed
- process and deposit rent payments
- ensure all administrative paperwork is accurate, complete and submitted on a timely basis
- perform other clerical and administrative tasks as needed
