The role offered is that of an Administrative Assistant, a temporary substitute position limited to a maximum of 165 working days within a fiscal year. This position is vital for supporting supervising administrators by handling a variety of routine administrative functions. The Administrative Assistant will be responsible for managing calendars, timekeeping, developing communications, assisting with budget monitoring, and organizing events. Working under general supervision, the assistant will play a crucial role in facilitating efficient administrative processes and ensuring compliance with district policies and procedures. This role is ideal for candidates who possess excellent organizational skills, attention to detail, and strong communication abilities, both verbal and written. Technological proficiency in office software, enterprise resource planning tools, time-keeping systems, and event management software is essential for success in this position.

Although this role is temporary and does not include benefits such as medical, dental, or vision insurance, it offers the opportunity to accrue sick leave as per state laws. Employees working over 1,000 hours in a fiscal year may qualify for enrollment in CalPERS. The position's responsibilities extend beyond routine clerical tasks; it requires a professional who can interact with diverse stakeholders respectfully and inclusively, manage sensitive communications, and support administrators by effectively prioritizing workloads and meeting deadlines. Job Requirements

  • High school diploma or equivalent
  • three years of work experience providing administrative support
  • evidence of responsiveness to and understanding of diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds
  • submission of resume or curriculum vitae
  • a list of three professional references including name, position, organization, phone number, email, and relationship to the applicant

Job Qualifications

  • High school diploma or equivalent
  • three years of experience providing administrative support
  • proficiency in general office software and equipment
  • knowledge of district policies and collective bargaining agreements
  • capability to use enterprise resource planning software
  • experience with time keeping software and event management systems
  • ability to develop and transcribe meeting minutes
  • strong oral and written communication skills
  • evidence of understanding and responsiveness to diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds
  • ability to prioritize assignments and meet deadlines
  • effective interpersonal relationship skills

Job Duties

  • Develop communications on behalf of supervising administrators
  • organize a supervising administrator's calendar to arrange and confirm meetings, screen requests for appointments, confirm travel plans, make conference arrangements, develop itineraries and related documents
  • monitor budgets to assist administrators, review purchase requisitions, review requests to use budgetary funds, reconcile accounts, process invoices for payment, and assist in budget development
  • process personnel and departmental documentation to ensure policy compliance prior to forwarding for approval and entering data into databases
  • follow up on employee assignments on behalf of a supervising manager
  • conduct time keeping functions to assist in processing time-sheets
  • organize events such as meetings, special events, and trainings
  • reserve campus spaces for departmental events and functions
  • screen visitors, telephone calls and communications to determine urgency and business nature
  • take minutes during meetings as assigned
  • file and maintain documents, records, and reports
  • demonstrate sensitivity and respect for diverse academic, socioeconomic, cultural, disability and ethnic backgrounds
  • engage and support historically disproportionately impacted groups by addressing equity and culturally responsive practices
  • apply knowledge of district policies and collective bargaining agreements to assist in communications and personnel actions
  • use enterprise resource planning software to enter data, review budgets, submit requisitions, and process invoices
  • use time-keeping, data reporting, and event management software to support administrative duties
  • effectively relieve the administrator of routine duties
  • prioritize assignments and meet deadlines
  • communicate effectively both orally and in writing
  • develop and maintain effective working relationships
