Job Requirements

  • Bachelor's degree or equivalent training and experience
  • one to two years of experience in legal, non-profit, public interest, community service or higher education office environment providing administrative or coordination support
  • ability to read, speak, and write fluently in both English and Spanish

  • one to two years of administrative or coordination support experience in legal, non-profit, public interest, community service, or higher education office environments
  • fluency in English and Spanish
  • proficiency with Microsoft Office suite
  • ability to quickly gain proficiency in case management and other specialized systems

Job Duties

  • Prepare invoices and expense reimbursements using Banner and Concur
  • interact with Purchasing, Accounting, and vendors to complete payment processes
  • manage clinic purchasing card purchases and retain receipts
  • assist with credit card statement reconciliation
  • conduct client intake interviews over phone or in person
  • add and remove faculty and students from client management systems and drives
  • prepare and maintain physical and electronic client files with accurate case assignments and logs
  • open and close cases and matters for clinics
  • perform conflict checks
  • assist with record retention and file destruction per policy
  • manage legal mail and sensitive correspondence
  • greet visitors and clients
  • answer incoming calls and emails
  • manage client intake forms and provide referrals
  • assist with student recruitment and orientation planning, including application processing and scheduling interviews
  • coordinate room reservations, food orders, A/V requests, and parking passes
  • arrange client-related travel and faculty conference travel
  • assist with room assignments, book orders, data entry, equipment needs, mail, courier coordination, scheduling interpreters and service processors
  • handle parking passes, copying, faxing, scanning, notarizing documents
  • order supplies, manage inventory and stocking
  • communicate with university departments to meet SLO needs
  • maintain and update clinic forms for students and faculty
  • perform other duties to assist the Student Law Office
