This role is full-time, in-person, and hourly with a competitive pay range of $25.90 to $32.02 per hour, reflective of candidate experience and qualifications. The Administrative Assistant plays a vital role in supporting the property management, specialty leasing, and mall operations teams by providing essential administrative and marketing assistance. The successful candidate will manage tenant and vendor databases, facilitate rent and sales reconciliation, coordinate lease documentation, and assist in marketing and event initiatives. This position demands excellent organizational skills, the ability to communicate effectively, and proficiency with technology platforms such as Microsoft Office and Yardi, with the willingness to learn additional enterprise systems.

This role involves being a front desk representative, managing communications, door access, and mail distribution, acting as a liaison between tenants and property teams including maintenance, HVAC, marketing, and housekeeping. The Administrative Assistant will also support multiple departments such as Operations, Marketing, Maintenance, Security, and Leasing by handling tenant-related tasks and communications, coordinating vendor insurance documentation, facilitating access for contractors, scheduling meeting rooms and community events, ensuring shared spaces remain clean, processing invoices and supporting accounts payable functions. Attendance at mandatory meetings, trainings, and flexible participation in special events are also key aspects of the role.

Job Requirements

  • High school diploma or equivalent
  • Minimum 3 years of administrative experience
  • Proficiency in Microsoft Office suite
  • Experience with events planning and/or specialty leasing preferred
  • Ability to use Yardi and other enterprise operating systems preferred
  • Strong organizational and communication skills
  • Ability to perform essential functions with or without reasonable accommodation

Job Duties

  • Serve as the front desk representative managing phones door access inquiries and mail distribution
  • Act as liaison between tenants and property teams maintenance HVAC marketing housekeeping distributing information as needed
  • Support Operations Marketing Maintenance Security and Leasing teams with tenant-related tasks and communications
  • Support marketing events and efforts on the property
  • Manage vendor and contractor insurance COIs access coordination and documentation for construction and maintenance
  • Coordinate meeting room scheduling community activation calendars and ensure cleanliness of shared spaces
  • Process invoices support Accounts Payable and maintain databases Yardi MacCentral DocuSign
  • Attend mandatory meetings trainings and support special events with flexible scheduling
  • Perform all other duties as assigned
