Brooks is presently inviting applications for the role of Administrative Assistant, Runner Experience based at their Seattle headquarters. This position is pivotal in maintaining smooth and effective operations within department teams by rendering comprehensive administrative support. The Administrative Assistant will manage complex calendars, coordinate travel plans domestically and occasionally internationally, organize meetings, and assist with various day-to-day office requirements. This individual will be the behind-the-scenes organizer who thrives on details, proactively addresses challenges, and supports efficient communication and workflow. Additionally, the role includes supporting onboarding procedures for new hires, managing departments’ financial tracking like expense reports and credit card reconciliations, and maintaining essential records such as organizational charts and contact lists.

The candidate will also play a critical role in planning and executing meetings, workshops, and team events by handling all logistics, including venue bookings, catering, and AV support. They will draft correspondence, manage shared communication platforms like Microsoft Teams and SharePoint, and ensure timely follow-up on key action items. Discretion and professionalism in managing confidential information are essential. The Administrative Assistant will contribute to enhancing operational processes where possible and provide backup support to other leaders as necessary.

Job Requirements

  • High school degree or equivalent
  • 3+ years of experience in administrative support
  • proficiency in Microsoft Office Suite including Outlook, PowerPoint, Excel, Word, Visio
  • experience with collaboration tools such as Teams or SharePoint

Job Qualifications

Job Duties

  • Manage calendars and schedule meetings for team leaders, anticipating and resolving conflicts as needed
  • coordinate domestic and occasional international travel including flight and hotel bookings, ground transportation, and itinerary organization
  • prepare and submit expense reports, track departmental budget and purchases, reconcile department credit card transactions, and manage office supply inventory
  • maintain team organizational charts, contact lists, and shared files
  • support onboarding for new hires by coordinating logistics, equipment setup, and welcome materials
  • assist with clerical tasks such as document preparation, formatting, copying, and filing
  • schedule, organize, and support internal team meetings, workshops, and offsites
  • book meeting rooms, order catering, and manage AV or virtual setup
  • prepare meeting materials, take notes, and track basic action items
  • support planning and logistics of key events or gatherings including vendor management
  • assist leadership team with ideation, organization, and execution of cultural and team-building events
  • draft and edit basic correspondence, team communications, and simple presentations
  • maintain and update shared information systems like MS Teams, SharePoint, and Outlook
  • act as a point of contact for internal inquiries and route information appropriately
  • support internal communications to strengthen team engagement and organization
  • identify small improvements in processes or tools to ensure smooth day-to-day operations
  • handle confidential information with discretion and professionalism
  • provide backup administrative support for other teams or leaders as needed
  • perform special projects and additional duties as assigned
