The Administrative Assistant/Receptionist role at UCP of Central Florida plays a crucial role as the first point of contact for the school, ensuring positive customer service experiences for all visitors, families, staff, and community partners. This position requires superior professional communication skills, both oral and written, to effectively greet guests and manage inquiries in a courteous, professional manner. The ideal candidate will be responsible for managing front desk operations, maintaining an organized and welcoming environment, and providing administrative support to the school’s staff. Besides handling incoming calls and greeting visitors, this role includes managing calendars for conferences and other public rooms, ordering office and classroom supplies, and ensuring compliance with attendance policies and regulatory requirements such as VPK/4C and DOE.

Additionally, the Administrative Assistant/Receptionist coordinates substitute teacher schedules, maintains compliance binders by updating inspection records, and performs various general office duties such as drafting correspondence, managing emails, and setting up meetings. This position demands someone detail-oriented, highly organized, and capable of multitasking in a fast-paced environment while maintaining accuracy and professionalism. Job Requirements

  • Associate degree or equivalent in a related field or CDA
  • 40-hour DCF training if working in a PreK school within the first 90 days of employment
  • 2 years administrative assistant experience
  • Prefer experience working in a medical or school setting
  • Excellent customer service skills
  • Ability to multitask
  • Strong computer skills including Microsoft Office

Job Duties

  • Provide superior professional customer service and communication skills to team members, client/student families, community partners, and referral sources, including greeting all guests in person and on the phone, assisting with questions and information requests, and completing the Admissions Initial Inquiry form for potential new outpatients/students
  • Ensure the front desk area is clean, organized, and well maintained
  • Ensure all voice and in-person messages are distributed and returned promptly
  • Maintain conference and other public room calendars
  • Provide general office support including drafting correspondence, faxing, copying, emailing, scanning, setting up meetings, and maintenance of calendars and gatekeeping/problem solving
  • Order office, classroom, and clinic supplies
  • Track classroom attendance, update call-in sheets and board, prepare and monitor attendance for VPK/4C and DOE compliance, and submit files to required entities
  • Assist in monitoring classroom substitute needs and call for substitutes as needed
  • Maintain Campus Compliance Binder by updating inspections and related documentation
  • Perform other duties as assigned
