Job Description

The role of Administrative Assistant within Fresno State Programs for Children is a full-time, benefited position that plays a crucial part in maintaining smooth program operations and supporting the diverse functions necessary to ensure continuous quality service. The Administrative Assistant will report directly to the Program Director and will hold a multifaceted position responsible for various administrative and operational duties. This includes managing enrollment processes, maintaining attendance records, overseeing compliance with health and safety requirements, managing child nutrition documentation, handling fiscal responsibilities such as submitting parent fees, and ensuring personnel files are accurately maintained in accordance with licensing and university guidelines.
In addition to operational support, the Administrative Assistant will offer critical administrative assistance by maintaining program records, assisting with licensing and accreditation documentation and processes, and supporting communication and coordination efforts across multiple program sites. The position also involves direct interaction with families, potential enrollees, university departments, and staff, demanding excellent customer service and interpersonal skills. Successful fulfillment of this role requires a high level of organization, attention to detail, proficiency in data management and office technology, and the ability to work collaboratively within a diverse team.
Salary for this position ranges from $17.85 to $18.39 per hour, reflecting the full-time and benefited nature of the job. Job Requirements
- High school diploma or GED required
- Experience in office operations, personnel, accounting, data management, and computer skills required
- Previous experience in federal and state-funded contract programs strongly preferred

Job Duties
- Inform potential families of the enrollment process
- Intake of pre-enrollment forms
- Check completed enrollment paperwork for accuracy and completeness
- Maintain and manage the program waitlist
- Maintain children’s files including health records and immunizations
- Prepare and monitor monthly sign-in sheets
- Work with classrooms to monitor children’s attendance
- Work with the Program Director and leadership team in developing and meeting enrollment targets
- Submit parent fees to auxiliary accounting
- Greet and assist the public, students, staff, and faculty and interact with the Department and Institute
- Assist with maintaining and updating current employee files to ensure compliance with licensing requirements
- Assist in ensuring all classrooms are staffed according to licensing requirements
- Maintain program records and files
- Assist with completion of program tasks related to licensing, Early Stars and Accreditation
- Complete, send and monitor service requests to University for repairs and other services
- Maintain the cleanliness of shared spaces including reception area, break rooms, and classroom observation rooms
- Organize and update computer files and manage program forms
- Support program staff in ordering materials and supplies
- Manage and keep data of visitation and observation logs
- Perform other duties as assigned
