The Department of Economics and Business at Colorado School of Mines is seeking a dedicated and highly organized Administrative Assistant III to be a vital part of its fast-paced academic environment. This role is far from being a conventional desk job; it is dynamic and hands-on, requiring active participation and logistical support for various departmental functions. The successful candidate will serve as the operational engine facilitating events and daily department activities, playing a central role in everything from organizing high-profile executive visits, symposia, and student-focused programs to managing essential administrative tasks that keep faculty and students supported and informed.

This position demands someone who thrives in an environment of shifting priorities and enjoys physically engaging with their work — from setting up event spaces and coordinating supplies to troubleshooting real-time logistical challenges during events. The Administrative Assistant III is integral to ensuring that high-quality events come together seamlessly, providing exceptional service to internal and external stakeholders. Apart from event management, the role includes front-facing office responsibilities such as managing schedules, coordinating communications, controlling purchasing orders, and maintaining office supplies and records. The assistant will also be involved in supporting faculty searches and various departmental initiatives.

Job Requirements

  • Residency in the State of Colorado at time of application submission
  • Minimum three years of relevant administrative experience including front desk, records, and event management documented in work history
  • Or a combination of related education and experience equaling three years with transcripts attached for educational credit
  • Ability to physically stand, walk, lift light to moderate items, and engage actively during events
  • Flexibility to work occasional evenings or weekends to support events
  • Must pass a background check

Job Qualifications

  • Three years of relevant experience including administrative work, front desk reception, records management, and event management
  • Proficiency with spreadsheet and word processing software such as Word and Excel
  • Strong interpersonal and customer service skills with ability to establish rapport with diverse individuals
  • Excellent organizational skills with ability to prioritize tasks and make independent decisions
  • Good judgement and discretion with ability to maintain confidentiality
  • Experience with Workday software preferred
  • Prior relevant state service preferred

Job Duties

  • Plan and coordinate department events including lectures, recruiting events, advisory board meetings, symposia, and student programs
  • Set up and break down event spaces, including arranging tables, seating, signage, and materials
  • Coordinate and move event supplies, materials, and equipment as needed
  • Oversee on-site logistics, troubleshoot issues in real time, and ensure seamless execution
  • Partner with vendors and catering, manage deliveries, and prepare event spaces before start time
  • Coordinate volunteers and student workers during events and direct activities on-site
  • Support guest speakers with travel, itineraries, and hospitality arrangements
  • Serve as the front-facing hub for the department supporting faculty, students, and visitors
  • Manage scheduling, communications, purchasing, and travel logistics
  • Coordinate conference room scheduling and maintain shared spaces
  • Maintain office operations, supplies, and departmental records
  • Assist in faculty searches and support department initiatives
