The Administrative Assistant Level II role at SKT, Inc. is a vital position that supports managers, employees, and customers by providing professional administrative and clerical assistance in a business office environment. This onsite position requires the incumbent to work diligently at the assigned work location each day, maintaining a high level of professionalism and organizational skills. The role includes managing Outlook calendars, coordinating activities such as appointments, conference calls, and meetings, including handling reminders, rescheduling, arranging logistics, preparing meeting minutes, and providing refreshments as needed.
Additional responsibilities involve maintaining and distributing an up-to-date internal phone list, compiling and editing correspondence and reports using Microsoft Word, Excel, and PowerPoint, and assisting with general clerical tasks such as photocopying, faxing, filing, and collating documents. The Administrative Assistant Level II also supports the Quality Management System by providing relevant data and performing detailed data entry and retrieval tasks. Furthermore, the role involves ensuring office equipment like copiers are operational and adequately stocked, performing daily office checks for cleanliness and organization, and managing inventory by ordering and distributing office supplies, including items for the breakroom and facility maintenance.
Receptionist duties are also integral to this role, requiring the Assistant to man the workstation and secure the facility during business hours, greet and assist visitors and staff, screen telephone calls and direct them accordingly, and manage incoming and outgoing mail and express mail services. This position demands a minimum of six years of experience in a business office setting for candidates with an associate degree or ten years if no degree is held. It is essential that the candidate is authorized to work in the United States and is capable of passing a background investigation to obtain necessary security clearance.
Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is required, with additional experience in Visio considered a plus. The successful candidate will demonstrate strong relationship management skills, effective communication abilities both oral and written, and the capacity to manage databases and prepare detailed reports. Confidentiality, organizational skills, inventory management, and the ability to perform basic accounting procedures are also critical to succeed in this role.
