Job Description

The University of Alabama is a prestigious institution of higher learning renowned for its commitment to academic excellence and inclusivity. As an Equal Employment/Equal Educational Opportunity Institution, the university maintains a welcoming and nondiscriminatory environment for all applicants and employees regardless of legally protected status. It upholds federal laws that protect employees and applicants from discrimination based on various protected bases, ensuring fairness and equity throughout the hiring process. Located within the Department of the University Registrar, the Administrative Assistant I position is a crucial role that supports the daily administrative functions essential to maintaining smooth operations within the unit. The department is responsible for managing student records, registration, and other key services that facilitate the academic progression of students at the university. This role offers an hourly pay range of $16.63 to $19.95, classified under Pay Grade N3, and operates on a normal work schedule from Monday to Friday, 8:00 a.m. to 5:00 p.m.

The Administrative Assistant I is tasked with providing comprehensive administrative support to the unit by performing well-defined and routine clerical duties. These duties include acting as the office liaison and receptionist, which involves greeting guests, receiving phone calls and emails, and directing inquiries to the appropriate personnel. The incumbent is responsible for maintaining accurate filing systems and entering data into electronic systems with attention to detail and confidentiality. This position requires proficient operation of standard office equipment such as personal computers, copiers, fax machines, and other related technology.

Candidates interested in this role should demonstrate a basic understanding of computer systems and other office technologies, alongside strong organizational, communication, and customer service skills. While a high school diploma or GED is the minimum educational requirement, knowledge or experience with the Banner Student Information System is preferred but not mandatory. The successful candidate will undergo a pre-employment background check that includes review of social media and internet sources to verify qualifications and suitability for the university environment. It's important to note that prior convictions do not automatically disqualify applicants; instead, each case is reviewed individually to ensure a fair assessment.

This position offers an excellent opportunity to work in a dynamic educational setting, supporting the university's mission to provide quality education and student services. The Administrative Assistant I role is ideal for detail-oriented individuals who enjoy providing frontline administrative support and thrive in an academic environment. The University of Alabama values institutional neutrality, free speech, and academic freedom, further enriching the professional experience of its employees. This opportunity not only provides competitive compensation but also signifies a commitment to professional growth and inclusive community engagement within a leading academic institution.
