The role of the Administrative Assistant at Mill Creek High School is critical in ensuring that all clerical and administrative support functions are managed efficiently and effectively to support the school's mission. This position involves working closely with local school leadership, faculty, staff, and various central office divisions. The successful candidate will be the frontline contact for internal and external stakeholders, including students, parents, and community members, providing courteous and effective communication at all times. The administrative assistant will be responsible for managing telephone communications, greeting visitors, organizing meetings, developing minutes, and preparing correspondence. They will also monitor school materials to ensure they meet accuracy, timeliness, and conformity standards prescribed by the system.

Additional responsibilities include assisting with staffing modifications, handling employee-related inquiries regarding employment eligibility, benefits, and compensation by liaising with Human Resources and other divisions. Maintaining personnel records, managing payroll data entry into electronic systems, coordinating calendars and interview schedules, and assisting in risk management tasks are fundamental aspects of the role. The administrative assistant will also serve as the school’s local benefits representative during open enrollment and be responsible for preparing work orders and purchase orders for supplies and equipment. This position demands superior organizational skills, problem-solving abilities, and the ability to act as a professional school system representative. Job Requirements

Job Duties

  • Provide general secretarial and clerical support to the assigned local school
  • Perform clerical and administrative duties including answering telephone calls and greeting visitors
  • Arrange meetings, develop minutes, and prepare correspondence
  • Assist principal with staff modifications and liaise with central office divisions
  • Maintain staff personnel records and enter data accurately
  • Serve as local site benefits representative during open enrollment and assist employees with benefits inquiries
  • Input daily leave and payroll into electronic Time and Attendance system
  • Prepare work orders and purchase orders
  • Maintain school calendars and coordinate schedules
  • Coordinate interview scheduling and track interviews for principal
  • Serve as liaison with Risk Management Department concerning employee accidents
  • Act as local school hospitality coordinator securing locations for events and meetings
  • Communicate with all parties in a courteous and businesslike manner
  • Represent the division professionally and foster a customer-centered environment
  • Handle internal and external customer inquiries effectively
