Job Description
The University of Iowa Center for Advancement (UICA) is a premier organization dedicated to supporting the University of Iowa through fundraising, alumni relations, and community engagement efforts. Within UICA, the Health Sciences Development department focuses on advancing philanthropic support particularly in the health sciences and medical fields. This department plays a crucial role in enhancing the impact of health care at the university by building strong relationships with donors, patients, families, and the wider community. As such, it strives to create meaningful partnerships that translate philanthropic gifts into groundbreaking research, superior patient care, and innovative educational programs.
We are currently seeking a motivated Administrative Assistant to join the Health Sciences Development team. This position will provide vital support to the Health Care Philanthropy staff, assisting advancement officers with various administrative and organizational tasks that enable the team to focus on fundraising and donor engagement. The role offers a hybrid work arrangement, with the flexibility to work both remotely and on-site in Iowa City, promoting a balanced and productive work environment.
The Administrative Assistant will be responsible for a variety of essential functions related to prospect management, donor stewardship, event logistics, and travel coordination. Key responsibilities include creating, updating, and modifying prospect plans using the BGI system at the direction of advancement officers, managing contact and interaction reports, and providing reminders to help officers maintain timely follow-up with prospects and donors. Additionally, the assistant plays a hands-on role in donor stewardship by making thank-you calls, suggesting unique acknowledgment ideas, and handling basic stewardship execution tasks.
Further responsibilities include coordinating travel arrangements such as hotel, airline, and car rentals for advancement officers, preparing meeting materials using tools like PowerPoint, and organizing calendars to ensure smooth daily operations. The position also involves executing established internal processes, responding to inquiries from colleagues and external stakeholders, conducting data management tasks like running queries and ensuring data accuracy, and providing logistical support for special events hosted by the department.
Candidates for this position should have a high school diploma with three or more years of administrative experience, or an associate's degree plus at least one year of relevant experience, or a bachelor’s degree. Strong organizational skills, attention to detail, and an ability to work collaboratively within a team are essential for success in this role. Prior experience using donor management software and a familiarity with philanthropic operations will be advantageous.

Job Duties
- Creates updates and modifies prospect plans in BGI at the direction of advancement officer or prospect management
- Understands internal and external controls and regulations on the use of donor information
- Provides reminders and follow up for advancement officers related to prospect plans
- Enters contact reports for advancement officer and may summarize information provided by advancement officer
- Provides reminders or processes basic stewardship items for advancement officers for timely execution
- Enters interaction reports for stewardship items
- Offers ideas for unique stewardship
- Conducts thank you calls for specific donors
- Makes hotel airline and/or rental car reservations for out of town travel
- Prepares for meetings by providing address directions BGI profile and other logistical information to advancement officer
- May complete expense reimbursement or corporate card reconciliation on behalf of advancement officer
- Produces basic meeting materials at the direction of advancement officer including updating or producing PowerPoint presentations and handouts
- Provides calendaring support at the direction of advancement officer
- Executes established internal processes such as SOGI work requests donor accounts
- Uses available information to answer questions from UICA colleagues external constituencies and/or donors
- Understands information resources and can research information independently to find answers
- Executes event logistics including invitations RSVPs gifts using templates and instructions
- Provides logistical support at the event including set up tear down registration table
- Enters and updates interaction reports for events
- Submits requests for information from data management
- Runs basic established queries
- Reviews information for accuracy and provides basic formatting
