EFW proudly presents an employment opportunity for the role of Administrative Assistant, Front Desk. The Administrative Assistant at the front desk acts as the first point of contact for the company, playing a crucial role in supporting the operational efficiency and customer service excellence of the organization.

Responsibilities include managing incoming mail distribution, maintaining front desk security and visitor logs, providing exceptional customer service both in person and via telephone, and performing various administrative tasks to support staff across all departments.

Additionally, this role involves learning and utilizing Business Central software for handling credit requests and approvals, processing expense accounts for management approval, organizing executive staff catering, assisting with mailing operations, and managing supply orders. Compliance with company security procedures, regular attendance, and a commitment to upholding company core values are imperative for success in this position.

Job Requirements

  • Minimum of a High School Diploma or equivalent
  • 0-2 years of clerical experience
  • experience in Freight Forwarding or Transportation industry preferred
  • eligibility to work in the United States
  • must pass pre-employment drug screening and background checks
  • ability to comply with company security procedures
  • ability to perform physical tasks such as sitting, standing, walking, or stooping
  • excellent attendance
  • no direct reports or supervisory responsibilities
  • willingness to work in normal office environment

Job Qualifications

  • Intermediate proficiency in Microsoft Office including Excel, Word, PowerPoint, and Access
  • attention to detail in composing, typing, and proofing materials

Job Duties

  • Process and distribute incoming mail to the appropriate employees
  • maintain front desk security and visitor log
  • maintain excellent customer service in person and via telephone including directing and filtering calls as necessary
  • perform various administrative duties in support of EFW personnel as required
  • support and promote company core values
  • learn to process requests for credit and how to approve in Business Central
  • follow established requirements for setting up lines of credit without approval by the Director of Accounting
  • follow processes involved with preparing expense accounts for approval and submitting them for payment
  • order lunches for the executive staff and set up the food when delivered
  • assist with UPS and USPS mailings done by Sales Support
  • assist sales as required
  • order supplies
  • comply with company C-TPAT and TSA security procedures
  • perform other duties as assigned
