Job Description
The Diocese and Cathedral Music department plays a vital role in enriching the liturgical worship experience by providing beautiful and meaningful music for major diocesan liturgies as well as all cathedral liturgies. This initiative supports the liturgical celebrations by offering musical accompaniment that elevates the worship environment, ensuring that major events within the diocese and cathedral are marked with dignity and reverence through sacred music. The department works closely with clergy, musicians, and various church offices to coordinate the planning, execution, and enhancement of liturgical celebrations, underscoring its commitment to excellence in sacred music ministry.
The Administrative Assistant position within this esteemed diocesan music department is a critical operational and administrative role. Reporting directly to the Director of Music, the Administrative Assistant provides essential support to both the Director and the team of musicians to guarantee the smooth functioning of the music ministry. This position is integral to the day-to-day management of liturgy planning, maintaining music resources, organizing choir operations, and facilitating communication across multiple entities including the diocesan offices, cathedral staff, and parish music directors. The role demands strong organizational skills and a meticulous approach to managing print and electronic resources, schedules, and logistics related to music for worship.
Key responsibilities include coordinating liturgy planning activities by assembling necessary resources, ensuring music and liturgical elements are properly aligned, managing deadlines, distributing music files to musicians, and producing polished liturgical programs. In addition, the Administrative Assistant manages physical and electronic music collections, contracts related to instrument maintenance, and purchasing new music materials, while helping to track budget expenditures in conjunction with the business manager. The role also entails coordination of choir activities such as auditions, rehearsal logistics, robe distribution, attendance tracking, and scheduling of cantors and organists.
Furthermore, this position supports the organization of cathedral concerts, weddings, and funerals by handling aspects such as donor communication, artist liaison, program creation, publicity, and event logistics. It also plays a key role in maintaining and updating the department's online presence, including websites and social media platforms, to enhance community engagement and outreach. A deep understanding or willingness to learn the liturgical calendar and Roman Catholic liturgical music traditions is highly valued in this role.
This part-time position requires approximately 20 hours per week, including regular business hours and additional hours on Thursday evenings and Sunday mornings to correspond with choir rehearsals. The pay range is hourly, offering between $26.50 and $30.50 per hour. Candidates should possess at least a high school diploma with preferred additional education such as an associate's or bachelor's degree, along with two to four years of administrative experience, ideally within a church, music, or similar faith-based setting.
Successful applicants will demonstrate excellent communication skills, the ability to effectively manage multiple projects, a proactive and reliable work ethic, and a capacity to adapt within a dynamic work environment. Proficiency in Microsoft Office Suite, especially Publisher, and familiarity with publishing software like InDesign and Google Suite, is advantageous.
