The role of Administrative Assistant for Catering & Conference Services is integral to the smooth operation and delivery of luxury events such as weddings, social occasions, and special celebrations. This position operates as a key support figure within the Catering & Conference Services team, ensuring every detail from initial inquiry to event completion is meticulously managed to meet Pebble Beach Company’s renowned standards of excellence. The assistant will be responsible for generating and distributing daily reports, maintaining precise client records, contracts, and invoices. Coordination tasks include scheduling meetings, venue tours, menu tastings, and planning sessions, while also ensuring timely and professional communication with clients through various channels including email and telephone.
This position demands a polished approach to client engagement, requiring the candidate to anticipate client needs and assist in on-site event execution to deliver an elegant and flawless guest experience. The role also involves administrative support in creating banquet event orders, program resumes, cost estimates, and event diagrams. There is an emphasis on maintaining strict confidentiality with client documentation and adhering to company safety and health policies. Additionally, the assistant will play a supportive role in the execution of special Pebble Beach events like the Pebble Beach Concours d'Elegance, AT&T Pebble Beach Pro-Am, and the significant 2027 U.S. Open at Pebble Beach. The work schedule is set Tuesday through Saturday with competitive pay starting at $25.00 per hour.

Job Duties
- act as the primary support staff for the catering team
- generate and distribute daily reports
- maintain accurate client records, contracts, and process invoices
- schedule, coordinate and set up meetings, venue tours, menu tastings, planning sessions and appointments
- professionally communicate directly with clients via email, written correspondence, and telephone
- answer telephone calls providing timely, polished, and professional responses
- assist with the creation of banquet event orders, program resumes, cost estimates, event diagrams, and restaurant reservations
- maintain and organize client files, contracts, banquet event orders (beos), invoices, and payment records with confidentiality
- ensure the highest level of guest service, anticipating client needs and assisting with last-minute event adjustments
- provide on-site event support as needed, ensuring an elegant and seamless experience for clients and their guests
- comply with all pebble beach company safety and health policies and procedures
- strongly attend to detail and accuracy in all tasks
- comfortably manage multiple tasks simultaneously in a time sensitive atmosphere
- assist with the execution of upcoming pebble beach concours d'elegance, at&t pebble beach pro-am, and the 2027 u.s. open at pebble beach
