The role of Administrative Assistant - Aquatics at the Eugene Family YMCA is a vital support position within the Aquatics Department reporting directly to the Aquatics Director. This non-exempt, position grade 5 role is designed to assist in efficiently running the Aquatics Program, with a key focus on coordinating group swim lessons and managing private swim lesson schedules. The Administrative Assistant is responsible not only for routine administrative duties such as data entry, correspondence, and record-keeping but plays an active role in delivering a cause-centered experience that aligns with the YMCA's core values. This includes proactive problem solving, communication with members and program participants, and active collaboration with the Aquatics Director and other team members to deliver high-quality, member-focused aquatic services. In this capacity, the assistant helps prepare lesson rosters and materials, assists in payroll tasks related to private instructors, and supports the administration of swim lesson surveys and feedback to improve program quality.

Job Requirements
- At least 1-1/2 years of administrative support experience
- Previous Aquatics Center training or experience
- Intermediate proficiency with Microsoft Word, Excel, SharePoint, and OneDrive
- Experience with general office equipment
- Ability to communicate effectively
- Strong interpersonal skills
Job Qualifications

- Experience with general office equipment like copier, scanner, and filing systems
- Certified Lifeguard preferred
- Certified Swim Lesson Instructor preferred
- Previous YMCA work experience preferred
- Experience coordinating and instructing swim lessons preferred
- Proficient conversational Spanish preferred
- Ability to relate effectively to diverse groups
- Demonstrated excellent communication and interpersonal skills
Job Duties
- Assist the Aquatics Director to run the Aquatics Program focusing on Group Swim Lesson Coordination
- Administer Aquatics operations and rules under supervisor guidance
- Troubleshoot problems using professional judgment selecting solutions from known alternatives
- Enter Group Swim Lessons into the registration system
- Correspond with members and patrons regarding Swim Lessons
- Help members and patrons to register for Swim Lesson programs
- Assist in creating rosters and preparing Swim Lesson materials
- Send out Swim Lesson Surveys and review feedback with the Aquatics Director
- Coordinate Private Swim Lessons and respond to Private Lesson Requests
- Follow up with guardians and individuals requesting lessons
- Work with Private Swim Instructors to assign lessons
- Ensure necessary paperwork is completed for participants
- Follow up on payments and policy compliance for private lessons
- Update the Private Swim Lesson Schedule
- Assist with Private Swim Instructor payroll entry
- Support Aquatics Director and Associate Director with administrative tasks
- Update Aquatics programming in the YMCA app
- Update Sub Sheets for staff
- Help coordinate First Aid/CPR/AED classes for staff
- Collaborate to expand programming
- Maintain all required trainings and certifications
- Perform other duties as assigned
