The role of Administrative Assistant/Front Desk staff is pivotal in maintaining the smooth operation of the daily activities of this organization. Reporting directly to the Operations Director, this position also extends support to various key departments, including Executive, Human Resources, Finance, Development, and Nursing teams. As the first point of contact, this role demands a professional, courteous, and approachable individual capable of managing front desk responsibilities and administrative tasks. Expertise in the Microsoft Office Suite—namely Word, Excel, Outlook, and PowerPoint—is essential, ensuring efficient handling of clerical duties such as typing, filing, scheduling, and meeting coordination.

The Administrative Assistant/Front Desk staff will manage communications by answering phones, responding to emails, and directing inquiries appropriately. They will be responsible for scheduling meetings, organizing events, and handling logistical details like location selection and coordinating equipment setup, including laptops, projectors, and sound systems. The role also involves minute-taking and creation of detailed reports, requiring excellent attention to detail and organizational skills. Moreover, this individual will manage confidential information with the highest level of discretion and professionalism.

This position requires multitasking abilities, the capacity to work independently and collaboratively, and strong interpersonal skills to engage positively with a diverse range of stakeholders. Additional duties include handling mail distribution, managing training attendance follow-ups, processing payments, and supporting Food For Lane County facilitation efforts. It involves physical activities such as standing, walking, occasional lifting of items up to 25 pounds, and occasionally climbing stairs or ramps.

Job Requirements

Job Duties

  • Provide administrative support via typing, filing, scheduling, coordination of meetings and conferences, obtaining supplies, mailings, special projects, and report creation
  • assist with meeting preparation including creation, copying, distribution of meeting materials, meeting set-up, note-taking, minutes generation, and distribution
  • oversee and coordinate events including organization and planning, location selection, and overall oversight and administration of events
  • assist by scanning, emailing or faxing documents, occasional delivery or pick-up of agency items, assemble highly confidential and sensitive information
  • respond to email and phone calls or take messages and field/answer all routine questions when needed
  • plan and organize a diversified workload independently
  • provide support for meetings including setting up presentation equipment, laptop, projector, sound equipment, refreshments
  • as Front Desk Support, provide support via phone calls, messages, voicemail, follow up on training attendance, collect and distribute mail, process group home receipt and rent payments, assist with distribution of paychecks and pay draws, and Admin On-Call phone programming
  • interact with a diverse group of internal/external stakeholders
  • greet and assist visitors, clients, and staff in a courteous and professional manner
  • answer and direct phone calls, emails, and other communications
  • provide administrative support to various members of the administrative team
  • schedule meetings, manage calendars, and coordinate logistics for events
  • maintain organized filing systems and ensure accurate record-keeping
  • assist with data entry, document preparation, and other clerical tasks as needed
  • facilitate Food For Lane County activities
