The role of the Administrative Assistant at FlexCare Infusion is integral to the smooth operation of the healthcare setting. This full-time, onsite position involves managing a range of administrative duties that support the medical team and enhance patient experience. Working Monday through Friday, with flexibility to accommodate shifts within normal business hours from 8:00 am to 5:00 pm, the Administrative Assistant ensures efficient scheduling, patient communication, and office management. Some holiday and overtime work may be required to meet business needs.
In this position, you will be the first point of contact for patients and visitors, providing a welcoming and professional atmosphere. Responsibilities include greeting and checking in patients, answering and routing telephone calls, and addressing inquiries. You will also handle outgoing post-infusion follow-up calls, document communications in Electronic Medical Records, manage incoming and outgoing mail, and assist with scheduling patient visits by phone. Additionally, you will support management with data entry and personnel records, organize meetings, maintain inventory levels of operational supplies, and ensure that the reception and work areas are clean and comply with CDC recommendations.
Training will be provided on the job, tailored to your schedule to ensure a smooth transition into your new role. Job Requirements
- High School Diploma or GED
- Must be 18 years of age or older
- Minimum of 2 years administrative or office experience
- CPR or BLS certification or ability to obtain within 45 days
- Proficiency in Microsoft Office applications
- Ability to work onsite at FlexCare Infusion Center in Aurora, CO
- Willingness to work full-time with flexible shifts within 8:00 am to 5:00 pm Monday through Friday
- Availability to work some holidays and overtime as needed
Job Qualifications
- High School Diploma or GED
- Must be 18 years of age or older
- 2+ years in an administrative or office role
- CPR or BLS certification (or ability to obtain within 45 days of hire)
- Command of Microsoft Office including Word and Excel
- Willingness to work onsite at FlexCare Infusion Center
- Ability to work full-time (40 hours/week) Monday through Friday with shift flexibility
- Receptionist experience is preferred
- Experience in a medical office performing clerical work is preferred
Job Duties
- Answers and re-routes incoming calls to the appropriate staff members
- Makes outgoing, post-infusion follow-up calls to patients and/or caregivers
- Documents patient communications within Electronic Medical Records
- Handles all incoming and outgoing mail to ensure timely receipt or delivery
- Greets, screens, and checks in patients and visitors for their scheduled appointment time
- Receives shipments and directs vendors for scheduled deliveries
- Performs office safety audits as required by regulatory agencies
- Assists with over-the-phone scheduling of patient visits
- Provides administrative support to the management team including data entry and personnel records
- Organizes and schedules onsite or remote meetings for company staff
- Organizes and files clinic and client documents under the directive of the Clinic Manager
- Monitors and maintains inventory for operational supplies and patient snack bar
- Assists with maintaining a clean work environment that supports CDC recommendations
- Runs reports under the direction of the Chief Operating Officer and/or Clinic Manager
- Assists patients with completing necessary forms and documentation
- Keeps the reception area clean and calm
