The role of Administrative Assistant at Ameriprise Financial is instrumental in ensuring the smooth operation of the office. This full-time position supports various tasks integral to the practice’s business plan and daily activities. Responsibilities include preparing presentations, acting as a back-up for scheduling when the primary scheduler is unavailable, and managing client communications alongside new business correspondence. The Administrative Assistant works closely with a team of three advisors, handling all scheduling duties, answering phones, and documenting client interactions. Additional duties involve tracking client and practice materials, preparing meeting agendas, sending communications such as agendas and handwritten notes, uploading advisor notes, and assigning tasks accordingly. The role also encompasses greeting clients upon arrival, managing mail, and monitoring communications through platforms like Hersay for owners and clients.

Job Duties

  • prepare correspondence for advisor signature
  • handle all scheduling for three advisor team
  • answer phones and document client calls
  • track all client and practice materials
  • prepare meeting agendas
  • send agendas and handwritten notes to OFM
  • upload advisor notes and assign tasks accordingly
  • perform other allowable duties as assigned
  • greet clients upon arrival
  • text monitoring Hersay for owner and clients
  • responsible for mail incoming and outgoing
