Job Description
St. Mary's Parish is a vibrant faith community dedicated to serving the spiritual and administrative needs of its congregation within the Austin Diocese. The role of Parish Administrative Assistant at St. Mary's Parish is a flexible, part-time position that involves working approximately 21 hours per week. This role is essential to the smooth operation of the parish office, providing critical administrative support and acting as a liaison between the pastor, parish staff, and the congregation. Reporting directly to the Pastor or the Parish Business Administrator, the Administrative Assistant is responsible for a wide range of duties including receptionist functions, maintaining parish records and files, assisting with the Gift Shop, overseeing financial reporting, and supporting the work of the Money Counter Teams. This position not only requires excellent organizational skills but also a deep understanding of Catholic ministry and the ability to model Gospel values in daily interactions.
In this role, the Administrative Assistant is expected to participate actively in the religious life of the parish, including training sessions, religious ceremonies, and reflection activities aimed at personal and professional growth within their ministry. The position demands a candidate who exhibits a strong ability to communicate effectively with clergy, staff, and parishioners, showcasing kindness, respect, and confidentiality at all times. As part of the parish ministry, the assistant must be committed to upholding the Catholic faith and participating fully in the life and mission of St. Mary's Parish. Additionally, the assistant will work approximately 4 to 5 weekends a year as assigned, demonstrating flexibility and dedication to parish needs outside of regular office hours.
This position requires proficiency with various office software including word-processing, spreadsheets, and database management systems such as the Parish Data System (PDS). The Administrative Assistant must also have basic knowledge of bookkeeping and accounting principles to manage and report parish finances accurately. A valid Texas driver’s license and the ability to travel for training sessions across the Diocese of Austin are mandatory. The parish emphasizes ethical standards and the importance of maintaining compliance with the Diocese of Austin’s Ethics and Integrity in Ministry (EIM) policies. Job Requirements
- High School Diploma or GED
- Two years of related work experience
- Practicing Roman Catholic in good standing
- Valid Texas driver’s license and transportation
- Compliance with Diocese of Austin Ethics and Integrity in Ministry (EIM) policies
- English language proficiency
- Ability to travel for training including overnight stays
- Ability to maintain confidentiality
- Availability to work some evenings, weekends, and holidays
- Ability to work in a fast-paced environment with changing priorities
Job Qualifications
- High School Diploma or GED acceptable to Texas Education Agency
- Two years of related work experience
- Practicing Roman Catholic in good standing
- Excellent verbal and written communication skills
- Knowledge of the Catholic community
- Familiarity with general accounting and bookkeeping principles
- Proficiency with word-processing, spreadsheets, and database software
- Ability to provide excellent customer service
- Ability to organize, prioritize, and manage time effectively
- Ability to maintain confidentiality
- Ability to handle multiple tasks and meet deadlines
- Ability to follow verbal and written instructions
- Ability to travel for training within the Diocese of Austin
Job Duties
- Support and uphold the philosophy of Catholic ministry and the mission of St. Mary’s Parish
- Act as a witness to Gospel values by modeling Catholic Church teachings
- Participate in religious ceremonies, training sessions, and reflection activities
- Maintain relationships with clergy, parish staff, and parishioners
- Perform receptionist duties
- Assist the Parish Administrator in the Gift Shop
- Maintain files and parish records
- Provide financial reports weekly, monthly, annually, and upon request
- Data entry into PDS System
- Assist with the oversight of Money Counter Teams and financial process
- Work approximately 4-5 weekends per year as needed and assigned
