Job Description
St. Mary's Parish is a vibrant and welcoming Catholic community dedicated to serving the spiritual and administrative needs of its congregation and the broader community. The role of Parish Administrative Assistant at St. Mary’s Parish is a part-time, flexible position requiring approximately 21 hours per week. This role is essential to the smooth operation of the parish office and serves as a vital link between staff, clergy, and parishioners. Reporting directly to the Pastor or Parish Business Administrator, this position involves a diverse array of administrative functions and requires a candidate who is committed not only to administrative excellence but also to the mission and ministry of the Catholic Church. The Administrative Assistant is expected to embody the spirit of Catholic ministry by modeling Gospel values both professionally and personally.
In this role, the Administrative Assistant will support the parish through multiple responsibilities including acting as the receptionist, assisting in the parish gift shop, maintaining detailed records, and managing key financial reporting tasks such as weekly, monthly, and annual financial reports. The position also entails data entry into the Parish Data System (PDS) and assisting with the oversight of money counter teams and processes. A unique aspect of this position is the involvement in occasional weekend work—typically 4-5 weekends per year—to support parish activities, as assigned. The candidate must exhibit excellent communication skills, a strong work ethic, advanced organizational abilities, and the capability to interact warmly and effectively with parishioners, staff, and clergy members.
Furthermore, the Administrative Assistant should continuously strengthen their ministry through participation in religious ceremonies, training sessions, and reflective activities, advancing both their personal and professional growth within the Church. Knowledge of the Catholic community, general accounting and bookkeeping skills, and proficiency with office technology such as word-processing, spreadsheets, and database software are vital. The ideal candidate maintains confidentiality, handles multiple tasks efficiently, and follows both verbal and written instructions accurately. Flexibility to travel for training sessions within the Austin Diocese, which may include overnight stays, is also required.
This position demands a practicing Roman Catholic in good standing who complies with the Diocese of Austin's Ethics and Integrity in Ministry policies. Candidates must hold at least a high school diploma or GED recognized by the Texas Education Agency, possess two years of related administrative experience, and hold a valid Texas driver’s license with transportation means. Working conditions involve ministry engagement aligned closely with the Pastor's direction, requiring availability during weekends, holidays, and evenings as necessary, as well as adherence to expected dress and conduct standards. This is an at-will employment position, within a faith-centered and fast-paced environment that values flexibility and commitment to the Church’s mission.

Job Duties
