The Texas Bankers Association (TBA) is the largest and oldest state banking organization in the United States, established in 1885. Over its extensive history, TBA has continually evolved to support its mission of providing world-class advocacy, education, and a wide range of products and services to approximately 400 member banks across Texas. As a not-for-profit 501(c)(6) entity, TBA also encompasses three for-profit subsidiaries and a non-profit foundation, collectively employing over 100 staff members throughout the enterprise. We are currently seeking a motivated Administrative Assistant/Receptionist to join our dynamic and fast-growing team. This position offers a unique opportunity to contribute to an organization that operates at the core of Texas's banking community while providing exceptional administrative support. The ideal candidate will be highly organized, detail-oriented, independent, and adaptable, thriving in a fast-paced environment with shifting priorities. Effective communication skills and the ability to manage multiple tasks concurrently while maintaining professionalism are crucial in this role.
Key responsibilities include greeting visitors and callers in a warm and professional manner, providing assistance and information about TBA's products, services, and events, as well as supporting member relations through answering inquiries and facilitating website navigation. The Administrative Assistant will also play a vital role in office management, overseeing supply ordering, managing mail and courier services, coordinating maintenance requests with building management, and maintaining staff calendars. Furthermore, the position involves support for accounting and database management tasks, such as assisting with monthly invoicing, maintaining member records, processing event registrations, and communicating with same-day event registrants.
This role requires a proactive individual with strong organizational and customer service skills, comfortable handling a variety of administrative duties and collaborating across departments. The successful candidate will be instrumental in ensuring smooth office operations and enhancing member experiences through superb service and efficient task management. Job Duties
- Greet all visitors and callers in a cordial and professional manner
- Provide knowledge of TBA products, services, and departments
- Answer member questions regarding TBA events and products with information on pricing, membership benefits, and website links
- Provide customer service and website navigation assistance for callers and email inquiries
- Setup member logins
- Maintain and order office, kitchen, and printer/copier supplies
- Manage incoming and outgoing mail, UPS, and FedEx
- Maintain staff calendar of TBA events and paid time off
- Coordinate with building management company for all maintenance requests
- Assist with monthly invoicing
- Update and maintain internal member database records
- Process all registrations for events
- Send out event access information to same-day registrants
- Perform other duties as assigned
