The Texas Home Visiting Program, based in Lubbock, TX, is currently seeking a full-time Administrative Assistant to join their dedicated team onsite at 1510 S Loop 289. This role is vital in supporting the operational efficiency and success of the Texas Home Visiting Program, which focuses on providing critical home visitation services to families. As an Administrative Assistant, you will be responsible for managing program secretarial duties and receptionist functions, which include directing incoming phone calls and preparing correspondence related to the program. Accuracy and attention to detail are key as you will perform data entry into the Texas Department of Family and Protective Services (DFPS) PEIS database. This involves logging registration, service, and outcome data for all program participants consistent with contract guidelines.
Beyond data management, the Administrative Assistant is responsible for preparing invoices, submitting monthly billing and accounts receivable, conducting monthly contract billing, maintaining accurate accounting logs, and preparing purchase orders. The role requires a courteous and professional demeanor as you interact with clients, visitors, and co-workers, providing excellent customer service and maintaining a positive atmosphere. It also involves screening prospective parents in alignment with program guidelines and ensuring the smooth operation of office needs, including supply management and maintaining the office’s appearance in accordance with holidays and special events.
Strong communication and organizational skills are essential for ensuring timely processing of mail, faxes, emails, and other correspondence. Job Requirements
- High School Diploma or GED required
- Prior work experience in education, child health and development, child abuse or neglect, and/or parent education preferred
- Knowledge of and/or experience using community resources preferred
- Knowledge and experience with in-home visitation preferred
- Ability to drive assigned vehicle(s) or personal vehicle with appropriate state license and provide proof of liability insurance
- Must be eligible to be insured under Buckner's insurance policy
- Must be age 21 or older to drive on behalf of Buckner
- Ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people
- Ability to walk, stand and sit, sometimes for prolonged periods of time

Job Duties
- Perform all duties in a courteous manner and maintain excellence in customer service including but not limited to cheerfully greeting clients and visitors with a smile and exercising respect with co-workers
- Accept inquiry calls, provide information and complete an initial screening on prospective parents in accordance with established guidelines
- Timely and accurately prepare and manage billing for Texas Home Visiting program in accordance with established guidelines
- Maintain accurate and complete accounts receivable records
- Prepare Texas Home Visiting accounts receivable reports and meet timely with the Program Supervisor to resolve any discrepancies
- Supervise the overall needs of the Texas Home Visiting office such as office supplies stocked for staff use
- Keep the appearance of the office in accordance with the holidays and special events
- Review and accurately process mail, faxes, emails, and other correspondence in a timely manner
- Maintain positive, professional appearance and demeanor while interacting and/or communicating with others
- Answer phone calls and appropriately respond to inquiries and requests for information for the Texas Home Visiting program
- Generate reports as requested
- Accurately prepare and proofread memos, letters, spreadsheets and other documents and correspondence as required
- Complete accurate and timely documentation
- Timely and accurately prepare and monitor subcontractor agreements as required
