The Administrative Assistant role at Burbank Housing plays an essential part in supporting the Sr. Site Manager and Assistant Site Managers in the efficient management of applicant and resident files. The primary responsibility is to ensure files meet eligibility compliance by thoroughly processing applications and maintaining accurate documentation. This role requires a detailed-oriented individual capable of handling multiple administrative tasks including answering phone lines, greeting visitors, accepting rent payments, receiving and entering work orders in the property management system (Yardi), and managing walk-in inquiries. The Administrative Assistant also serves as a receptionist when Resident Managers are engaged with residents or applicants, ensuring smooth communication flow and timely response to inquiries.

Because Burbank Housing operates under strict program guidelines and regulatory compliance, the Administrative Assistant must be knowledgeable of these requirements and able to apply them effectively. Working closely with Resident Managers, the assistant supports the overall goal of maintaining well-organized resident records, assisting with appointment scheduling, and providing exceptional customer service to residents and applicants. This position requires strong interpersonal skills, the ability to maintain confidentiality, and the competence to manage competing priorities efficiently.

Ideal candidates for the Administrative Assistant role will bring a combination of clerical experience, strong communication skills, and proficiency in Microsoft Office and basic computer applications. Job Requirements

  • 1-2 years experience in a clerical or administrative role
  • possession of a valid California driver's license

Job Duties

  • Receive and review resident applications for completeness
  • show available units if rent ready
  • follow Burbank Housing's procedure for processing eligible applicants within program guidelines
  • accept rent payments from residents submitting in person
  • serve as receptionist answering phones and responding to emails when Resident Manager is occupied
  • receive and review work orders from residents
  • enter work orders in Yardi
  • post 24-hour notices to residents
  • perform other duties as assigned
