Job Requirements
- 1-3 years of experience in an administrative, office assistant, coordinator, or support role
- Proficiency in Microsoft Office Suite
- Experience with office software and tools such as Google Workspace, Zoom, Teams, and SharePoint
- Familiarity with project management tools like Asana, Trello, or Monday.com
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities

- 1-3 years of experience in an administrative, office assistant, coordinator, or support role, preferably in a non-profit or community environment supporting programs, working with external partners, or experience in housing, homelessness response, or human services
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with office software and tools (e.g., Google Workspace, Zoom, Teams, SharePoint) and project management tools (Asana, Trello, Monday.com)
- Detail-obsessed, highly organized, and thrives in a fast-paced, ever-evolving space
- Communicates clearly, kindly, and consistently whether it’s over email, Zoom, or in person
- Multitasks like a pro but knows when to slow down and prioritize
- Passionate for equity, inclusion, and showing up for vulnerable communities
- Loves team collaboration just as much as independent problem-solving
Job Duties
- Keep things running smoothly for internal and external meeting scheduling, prepping materials, capturing notes, tracking action items, and making sure things don't fall through the cracks
- Manage complex project calendars, timelines, and deliverables across multiple teams and initiatives
- Draft agendas, create slide decks, and support the preparation of briefings and presentations
- Maintain high-quality records and documentation, including contact lists, reports, participant data, and grant-related files
- Support grant reporting by gathering metrics, formatting updates, and assembling required documentation
- Handle general office and program admin needs and everything from room setup and supply management to guest hospitality and tech troubleshooting
- Collaborate with internal teams, external partners, and the community helping ensure strong follow-up, shared understanding, and accountability
- Assist in planning and executing program events, trainings, and outreach efforts, including scheduling, registration, logistics, and post-event wrap-up
- Track stakeholder engagement activities and maintain structured follow-up systems to ensure partners, volunteers, and community members are informed, appreciated, and invited to stay involved
- Gather, organize, and distribute outreach materials and communications to service providers, lived experience leaders, and community partners
- Collaborate with the team to tailor communication strategies to various audiences including public officials, service providers, and people experiencing homelessness
- Help implement feedback loops with stakeholders and the public to assess impact and strengthen programming
- Coordinate email outreach, survey dissemination, and meeting follow-up to keep everyone in the loop and engaged
- Work alongside the Homeless Initiatives team and cross-functional staff to support collaborative projects that advance homelessness and the PPCoC's goals
- Contribute ideas to improve systems, streamline workflows, and enhance stakeholder experience
- Jump in where needed to assist with special projects, community events, or urgent needs, because no day is ever quite the same
