The role of Administrative Assistance Support at Cherokee Nation Government Solutions offers an exciting full-time opportunity with a starting salary of $29.00 per hour, commensurate with experience. The position encompasses essential day-to-day administrative and clerical tasks supporting a headquarters office environment. Responsibilities include coordination of routine office actions such as record maintenance, document preparation, meeting support, and travel documentation adhering to established procedures and government program guidance. This position demands a strong attention to detail and the ability to handle multiple priorities within strict deadlines.
In this role, the Administrative Assistance Support will provide critical support for executive and front office operations, managing communications including phone calls, emails, and visitor greetings in line with established office protocols. The candidate will also maintain both paper and electronic filing systems, scan and upload documents, and update SharePoint content. Managing rosters, trackers, and checking supply inventory are additional crucial tasks. Strong organizational skills are essential for scheduling meetings, managing calendars, setting up virtual meetings via platforms like MS Teams, Webex, and Zoom, and supporting both on-site and off-site events. The role also includes preparing various correspondence and briefing materials, proofreading documents, and conducting routine quality checks to ensure accuracy and completeness before distribution.
To be successful in this position, candidates must bring at least three years of experience supporting Department of Defense administrative operations or equivalent experience paired with an Associate degree. Proficiency in Microsoft Office Suite and meeting software is essential. A strong customer service orientation and communication skills, paired with the ability to follow instructions and escalate issues appropriately, are key attributes. Candidates must be U.S. citizens and able to successfully pass background investigations and drug screenings required for federal employment. Job Requirements
- Associate degree or equivalent experience
- Three years of experience supporting DoD administrative operations or equivalent
- U.S. citizenship
- Successful completion of U.S. federal government background investigation
- Passing a drug screen
- Proficiency in Microsoft Office and SharePoint
- Experience with MS Teams Webex and Zoom
- Strong attention to detail and time management
- Effective communication skills
- Must pass pre-employment qualifications of Cherokee Federal
Job Qualifications
- Three years of experience supporting DoD administrative operations performing duties similar to those listed or an Associate degree plus two years of equivalent experience
- Proficient in Microsoft Office including Outlook Word PowerPoint Excel
- Proficient with MS Teams Webex and Zoom for meeting setup and support
- Strong attention to detail and time management skills
- Strong customer service skills and professional communication
- Ability to follow guidance and escalate issues appropriately
Job Duties
- Provide administrative support for executive/front office operations including answering phones routing calls responding to routine emails and greeting visitors in accordance with office procedures
- Maintain paper and electronic filing systems scan upload label route and retrieve documents as requested
- Update and publish routine SharePoint content and administrative updates as directed
- Maintain and update rosters checklists and trackers distribute and collect documentation in accordance with established processes
- Track and submit office supply requests for the front office including awards/accoutrements patches coins and similar items following established ordering procedures
- Prepare standard correspondence emails memorandums reports and briefing materials using provided templates coordinate for review and approval prior to release
- Route and distribute correspondence in accordance with approved guidelines and distribution lists
