The Administration Manager role at BEST Crowd Management is an essential position focused on supporting live event operations and venue functionality through expert administrative leadership and staff management. This role acts as a critical bridge between frontline staff and leadership, ensuring events are adequately staffed, compliant with licensing and other operational requirements, and executed to the highest standards. The Administration Manager will lead recruitment efforts, facilitating interview and onboarding processes while also supporting volunteer integration. They are responsible for implementing training programs aimed at enhancing team performance, managing licensing compliance, and developing efficient shift scheduling systems.
Beyond staffing logistics, the position encompasses staff engagement and retention strategies, employing digital communication tools to foster clear and creative messaging that enhances employee participation and morale. The individual will manage attendance and recognition initiatives to encourage consistent performance and a positive work culture. Conducting post-event evaluations to identify strengths and improvement areas also falls under this role, ensuring a continual cycle of advancement and operational excellence.
Ideal candidates will have one to three years of professional experience preferably in security, event staffing, law enforcement, military, or EMS environments, combined with strong customer service skills. Flexibility in scheduling and the ability to excel in fast-paced, time-sensitive environments are critical. Job Requirements
- Ability to work a flexible schedule including nights, weekends, holidays, and overnight shifts
- Strong ability to manage time-sensitive communications with staff, clients, and leadership
- Ability to pass a background check
- Excellent judgment, discretion, and professionalism

Job Qualifications
- 1-3 years of professional-level experience
- Prior experience in security, event staffing, law enforcement, military, or EMS preferred
- At least one year of experience in customer service, security, or a related field
- Strong written and verbal communication skills in English
- Excellent judgment, discretion, and professionalism
- Adaptable, solution-oriented, and calm under pressure
- Ability to work a flexible schedule including nights, weekends, holidays, and overnight shifts
Job Duties
- Lead recruitment efforts including interviewing, onboarding, and coordinating new hire orientations
- Assist with recruiting and onboarding NPO volunteers for all events
- Support the development and execution of training programs to enhance staff performance
- Understand and manage the staff licensing process, ensuring 100% on-site compliance
- Play a key role in scheduling, ensuring events are properly staffed and all team members are informed and confirmed for their shifts
- Own the staff engagement strategy using digital tools to communicate clearly, creatively, and consistently
- Conduct post-event evaluations to identify successes and improvement opportunities
