We are currently seeking a dependable and detail-oriented Administrative Support professional to join our New Brighton office. This full-time position plays a crucial role in maintaining the smooth operation of our office environment. The selected candidate will provide essential clerical assistance to both employees and managers and offer comprehensive administrative support to our local team and HR Shared Services. The role demands a professional attitude with strict adherence to confidentiality, especially when handling sensitive HR and payroll documents.

The Administrative Support role is dynamic and diverse, encompassing responsibilities such as front-desk reception duties, maintaining inventory for cafeteria supplies, managing mail distribution and invoice scanning, coordinating lunch orders for visitors and meetings, and setting up office equipment in collaboration with IT and management. Additionally, the incumbent will assist the HR team by filing important documents, coordinating employee engagement initiatives, and managing personnel files in accordance with records retention policies.

Success in this position requires a multifaceted individual capable of multitasking and prioritizing in a busy office atmosphere. The role demands strong interpersonal skills to work effectively with different teams and external visitors, as well as proficiency in common office software like Excel, Word, and Outlook. Independence in executing routine tasks and maintaining professionalism in communication—both verbal and written—are essential qualifications for this position.

  • Previous experience in an admin support or clerical role
  • Strong interpersonal skills and adaptability
  • Ability to prepare and stock inventory and process office bills
  • Excel, Word, and Outlook experience
  • Must be able to multitask
  • Must be able to work independently with little supervision for routine tasks
  • Must have excellent verbal and written skills
  • Ability to lift and move 25 pounds

Job Duties

  • Reception
  • Stocking cafeteria supplies such as utensils, plates, cups, and coffee
  • Mail distribution and invoice scanning to accounts payable
  • Ordering lunches for visitors and on-site meetings
  • Coordinating office setup with IT and management
  • Providing administrative support for HR Shared Service Center
  • Filing HR and payroll documents including managing active and terminated employee files
