The role of Activity Specialist at Oklahoma Children's Hospital, within the Child Life Program, is a vital position designed to support and enhance the holistic care environment for pediatric patients. Reporting to the Manager of the Child Life Zone and Integrative Programs, this role is responsible for the planning, managing, implementing, and staffing of special events and activities. These events are geared toward supporting the psychological and emotional needs of hospitalized children as well as engaging the community in awareness and support of Child Life and Integrative Care services. The Activity Specialist will collaborate closely with Child Life staff, volunteers, and hospital personnel to coordinate event timing and ensure a well-balanced portfolio of activities that meet patient needs and maximize community engagement.

Responsibilities also include providing day-of support for hospital and donor events, facilitating monthly rotating activities, managing volunteers to implement group activities, providing training and information for participants, and maintaining comprehensive statistics and feedback on all events to continually assess their impact on patient well-being. Additionally, the specialist will source and manage supplies and equipment in line with budgetary constraints and oversee the daily programming within the Child Life Zone, ensuring timely and effective communication and promotion of events to patients, families, and clinical teams.

Job Requirements

  • Associate's degree
  • minimum 1 year of experience in special event coordination, project management, or program planning
  • current Basic Life Support issued by the American Heart Association within 30 days of hire
  • ability to conduct training sessions
  • excellent public/customer relations skills
  • strong communication, organization, and scheduling skills
  • ability to work independently
  • proficiency in Microsoft Office and Canva
  • experience managing volunteers and community relations

Job Qualifications

  • Associate's degree required

Job Duties

  • Collaborates with Child Life, Integrative and Creative Care staff, Volunteer coordinator and volunteers, and hospital to plan event timing and activities
  • ensures appropriate balance of activities to meet patient needs and engagement with community relations and programming opportunities
  • provides day of support for hospital events
  • helps host and implement donor events, patient events, along with providing monthly rotating events and activities
  • coordinates and supports volunteer programs to develop, plan and implement group volunteer activities and opportunities
  • provides appropriate training and information for event participants
  • solicits ongoing feedback and evaluates contribution of event to well-being of hospitalized children
  • keeps statistics on all events
  • coordinates coverage of events with ITZTV
  • sources and manages supplies and equipment based on available resources, vendors, and budget for the department
  • plans and provides programming daily in the Child Life Zone
  • keeps advertisements to families up-to-date on events and programming
  • maintains prompt and reliable communication with Child Life, Integrative and Creative Care staff, interdisciplinary teams, In the Zone TV, and volunteers regarding special events
  • assures timely publication of event information to clinical areas for communication with patients and families
  • provides proper recognition to all contributing special event participants
  • creates a contact list for all vendors, special visitors, groups, including the initial contact at hospital
  • performs other duties as assigned
