Job Description
We are hiring an Accounting and Administration Manager to join our dynamic multi-location restaurant and food service company based in Orange County, CA. Our organization operates numerous restaurant locations across various U.S. states and employs roughly 200 team members primarily working onsite at our restaurant venues. The corporate administration team comprises about five dedicated professionals committed to supporting our widespread operations efficiently and effectively. We offer a hybrid working environment with approximately two days onsite per week, complemented by a flexible 8-hour work schedule to support work-life balance. This is a full-time, exempt position with a competitive salary range between $80,000 and $90,000 annually, commensurate with experience. The role of Accounting and Administration Manager is pivotal to our business operations. Reporting directly to the CFO, this leadership position is hands-on and encompasses oversight of the accounting, payroll, human resources administration, and overall corporate operational functions. You will supervise three accounting and administrative staff members, ensuring high standards in financial reporting, payroll accuracy, regulatory compliance, and efficient administrative processes. Your deep accounting expertise will be essential to maintain precise bookkeeping, manage accounts payable and receivable, perform regular reconciliations, and oversee month-end and year-end financial closings with adherence to U.S. GAAP standards. Beyond finance, your responsibilities extend into payroll management for approximately 200 employees, requiring meticulous review of hours, tips, and payroll data submitted by our restaurant managers and resolving any discrepancies with a keen eye towards detail. Employee administration tasks involve managing enrollments for benefits like medical, dental, vision, and 401(k) plans alongside supporting onboarding and offboarding processes. We emphasize compliance with federal and California state employment laws, and you will collaborate with external HR specialists as needed to handle complex employment issues sensitively and confidentially. Administrative oversight also forms a critical part of this role, including managing business licenses, permits, correspondence with government agencies, insurance renewals, and vendor relationships. You will also drive improvements in internal workflows and procedures, troubleshoot non-routine issues, and ensure operational deadlines and expectations are consistently met. Job Qualifications

- candidates with equivalent practical accounting experience will also be considered
- several years of hands-on accounting, bookkeeping, or accounting administration experience

- working knowledge of U.S. GAAP
- previous supervisory, team-lead, or staff-training experience preferred
- experience working in a small or mid-sized company where responsibilities extend beyond accounting is strongly preferred

- experience with payroll administration and employee benefits coordination preferred
- familiarity with California employment and payroll requirements is helpful

Job Duties
- Oversee daily bookkeeping and general ledger activities
- review accounting entries and work completed by junior staff
- manage accounts payable and accounts receivable activities
- review and approve vendor payments and fund transfers
- perform bank and account reconciliations
- support month-end and year-end closing processes
- prepare and review financial reports
- ensure accounting transactions are recorded accurately and on schedule
- review unusual or new transactions and determine the appropriate accounting treatment
- coordinate with the CFO and external accounting or tax professionals as needed
- oversee payroll preparation for approximately 200 employees
- review employee hours, tips, payroll changes, and information submitted by restaurant managers
- enter and verify payroll information using the company’s payroll system
- investigate and resolve payroll discrepancies
- respond to employee questions regarding paychecks, timekeeping, benefits, PTO, and related matters
- coordinate employee enrollment and changes for medical, dental, vision, and 401(k) plans
- support employee onboarding and offboarding
- maintain accurate employee and payroll records
- research and stay informed about applicable California and federal employment requirements
- coordinate with external specialists when complex employment matters arise
- manage business licenses, permits, and renewal schedules
- review and respond to correspondence from government agencies
- maintain corporate and administrative records
- coordinate insurance renewals and related documentation
- support workers’ compensation and other insurance matters
- oversee office vendors, supplies, contracts, and general administrative operations
- troubleshoot non-routine accounting and administrative issues
- establish and improve internal procedures and workflows
- ensure deadlines are met and operational matters are handled promptly
- supervise, train, and support three accounting and administrative staff members
- review the quality and accuracy of team members’ work
- assign responsibilities and monitor deadlines
- respond to staff questions and provide guidance on accounting and administrative matters
- improve routine procedures and develop clear internal processes
