The Event Sales Coordinator position at White Felt Casino Events is a dynamic sales-focused role designed for individuals who excel in managing inbound event inquiries and nurturing client relationships to generate repeat business. This role is predominantly concentrated on inbound lead conversion, accounting for approximately 70% of the responsibilities, with the remaining 30% dedicated to sustaining and developing strong relationships with venues and event planners to foster long-term referral growth and partnership expansion. The successful candidate will be pivotal in overseeing the entire event sales process from the initial client inquiry through to the confirmed booking stage, ensuring that all details are thoroughly managed, communication remains clear, and coordination with internal teams is flawless.

Key aspects of this role include responding promptly and effectively to inbound inquiries through multiple channels such as phone, email, and website forms. The coordinator will be responsible for qualifying customer needs by understanding the type of event, guest count, venue choices, and entertainment preferences. Tailoring casino entertainment packages that align with client goals, preparing and presenting quotes, and persistent follow-ups are essential to maintain engagement until bookings are secured or inquiries are closed. Additionally, the role demands maintaining ongoing relationships with past clients to encourage rebooking and repeat events, strategically reaching out before typical event seasons to maximize booking opportunities.

Another critical component is managing and enhancing partnerships with venue operators and professional event planners. This involves regular communication and relationship-building efforts to position White Felt Casino Events as a dependable and preferred entertainment vendor within the market. Opportunities to attend venue walkthroughs, open houses, and networking events provide a platform for reinforcing these partnerships.

The sales execution process involves guiding clients seamlessly through the booking journey, confirming event logistics, and identifying upsell opportunities such as additional gaming options or premium package upgrades. Attention to detail is paramount to ensure the accuracy of all event-related information prior to confirmation.

CRM management is also a significant responsibility, with the coordinator maintaining up-to-date and accurate sales records using HubSpot. This includes entering precise event details such as dates, times, locations, venue contacts, game selections, guest estimates, and any special venue requests. Maintaining CRM hygiene and using tools such as tasks and reminders ensures effective follow-up and supports operational reporting and forecasting.

Supporting event coordination and on-site execution further enhances client satisfaction, involving communication with operations and staffing teams and occasional attendance at events to represent White Felt professionally.

Success is measured by key performance indicators including inbound lead response time, conversion rates, revenue generated from inbound and repeat clients, maintaining minimum close rates, CRM data accuracy, and growth in repeat bookings and client retention.

The ideal candidate will bring strong sales and communication skills, a proven track record in lead conversion, excellent relationship management capabilities, preferably with experience in event sales, hospitality or event planning, and a high degree of organization and self-motivation. Proficiency with CRM systems like HubSpot and standard office software is essential.

This full-time role operates primarily in-office on a Monday through Friday schedule, from 8:30 AM to 5:00 PM. Compensation includes a 50% salary plus 50% commission structure, with an On-Target Earnings (OTE) range of $90,000 to $120,000 annually. Occasional evening or weekend work may be required for events or networking. The position demands responsiveness to inbound inquiries during business hours, with some after-hours availability for urgent matters. The role emphasizes professionalism, ownership, and flexibility to ensure client satisfaction and successful event delivery.
