Job Description
The University of New Mexico's Office of the University Secretary (OUS) is a pivotal administrative department that provides essential support to faculty governance and oversees key academic events. Established to ensure continuity and effective communication within the faculty government, OUS supports various committees, including the Faculty Senate, Academic Freedom and Tenure Committee, and Committee on Governance. The office manages over 25 standing and ad hoc faculty senate committees, positioning itself as a central hub for academic governance at UNM. Furthermore, this office plays a crucial role in organizing and facilitating the university's formal academic events, such as the biannual Commencement ceremonies held in spring and fall, First-Year Family Day each August, volunteer appreciation events, and informational fairs. This coordinated effort contributes significantly to enriching the university community's experience and celebrating academic achievements.
The role of Administrative Coordinator, also known as Academic Events Coordinator, is a dynamic position within this office, offering a unique blend of administrative duties and event planning responsibilities. This full-time, regular staff position is based at the main campus in Albuquerque, NM, and provides a competitive hourly wage ranging from $19.56 to $26.58. It is a benefits-eligible role, offering comprehensive medical, dental, vision, and life insurance coverage, along with educational benefits such as tuition remission and dependent education programs. The position is primarily in-person with occasional flexibility for remote work, ensuring a collaborative office environment while offering adaptability to employees.
As the Academic Events Coordinator, the incumbent serves as a key player in the planning and execution of university-wide academic events. This includes coordinating the UNM Commencement ceremonies, First-Year Family Day, and other significant functions aimed at fostering community and recognizing student achievements. The role demands strong organizational skills to manage multiple projects and events simultaneously and the ability to act as an administrative liaison between the office and various internal and external stakeholders. Responsibilities extend beyond event management to include comprehensive administrative support for faculty senate committee work. The coordinator is tasked with scheduling and facilitating meetings, preparing correspondence, managing records and databases, and contributing to budget planning and reporting.

Job Duties
- Plan and coordinate activities and events
- serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external agencies for event planning and execution
- organize and facilitate meetings, including scheduling meetings and taking meeting minutes and notes
- compose and prepare written documentation and correspondence for the office
- screen and evaluate incoming and outgoing correspondence and prepare responses, as appropriate
- monitor and coordinate accounting activities as appropriate and prepare internal reports for management
- participate in budget planning and management as required
- gather, enter, and/or update data to maintain departmental records and databases
- maintain files and records for the office
- assist with project development and planning to ensure more efficient service and organization of the office
