Job Description

The University of New Mexico's Office of the University Secretary (OUS) is a vital administrative department dedicated to maintaining the continuity and efficacy of faculty governance and academic events. As a central hub for faculty leadership, the OUS coordinates and supports a wide range of faculty senate activities, including the Faculty Senate itself, the Academic Freedom and Tenure Committee, and the Committee on Governance, along with over 25 standing and ad hoc faculty senate committees. With a strong commitment to fostering an engaging academic environment, the office plays an essential role in organizing major university-wide academic events.

The OUS is renowned for its central role in the planning and execution of the University of New Mexico's formal academic ceremonies, including the prestigious commencement ceremonies held every spring and fall. Additionally, it organizes First-Year Family Day, an event specifically designed to welcome and support new students and their families at the beginning of the academic year. The office also hosts volunteer appreciation events and informational fairs, all designed to engage the university community and enhance the overall campus experience.

The Academic Events Coordinator position at OUS is a full-time, regular staff role classified as non-exempt with a position grade of 10. This role is ideally suited for a motivated and detail-oriented individual with a strong enthusiasm for event planning and administrative coordination. The pay range for this position is hourly between $19.56 and $26.58. The position primarily requires in-person work at the Albuquerque main campus but offers flexibility for occasional remote work applicable locally.

As an Academic Events Coordinator, you will be an integral member of the OUS team tasked with supporting the seamless delivery of UNM's major academic events. Your responsibilities will include planning, organizing, and coordinating activities related to formal ceremonies such as commencement and events that foster student engagement, like First-Year Family Day. You will serve as a primary administrative contact, liaising with various university departments, external agencies, volunteers, and individuals to ensure successful event execution.

Beyond event coordination, the role involves a variety of administrative duties that support the ongoing functions of the University Secretary's office. This includes arranging and facilitating meetings, maintaining records and databases, preparing and managing correspondence, supporting faculty senate committee work, and participating in budget planning activities. The ideal candidate will have the ability to manage multiple projects effectively, demonstrate strong communication skills, and maintain confidentiality when handling sensitive information.

Job Requirements

  • High school diploma or GED
  • at least 5 years of experience directly related to the duties and responsibilities specified
  • completed degree(s) from an accredited institution may be substituted for experience on a year for year basis
  • ability to work primarily in-person with some flexibility for occasional local remote work
  • ability to pass a background check
  • compliance with influenza vaccination if working in patient care or clinical areas

Job Duties

  • Plan and coordinate activities and events

  • organize and facilitate meetings, including scheduling meetings and taking meeting minutes and notes
  • compose and prepare written documentation and correspondence for the office
  • monitor and coordinate accounting activities as appropriate and prepare internal reports for management
  • gather, enter, and update data to maintain departmental records and databases and maintain files and records for the office
  • assist with project development and planning to ensure more efficient service and organization of the office
