The University of New Mexico's Office of the University Secretary (OUS) is a vital administrative department dedicated to maintaining the continuity and efficacy of faculty governance and academic events. As a central hub for faculty leadership, the OUS coordinates and supports a wide range of faculty senate activities, including the Faculty Senate itself, the Academic Freedom and Tenure Committee, and the Committee on Governance, along with over 25 standing and ad hoc faculty senate committees. Job Requirements
- High school diploma or GED
- at least 5 years of experience directly related to the duties and responsibilities specified
- completed degree(s) from an accredited institution may be substituted for experience on a year for year basis
- ability to work primarily in-person with some flexibility for occasional local remote work
- ability to pass a background check
- compliance with influenza vaccination if working in patient care or clinical areas
Job Qualifications
- Experience overseeing projects and/or events
- ability to maintain confidentiality and protect sensitive information
- technical knowledge of websites and databases to maintain departmental records and files
- strong customer service skills
- verbal and written communication skills
- experience working in an academic environment preferred
- experience in purchasing and budget planning preferred
- experience with Microsoft Office Suite and Microsoft Teams preferred
- ability to multi-task and prioritize duties preferred
- project management expertise preferred
- experience working with or organizing volunteers preferred
- experience working with a diverse group of internal and external constituents preferred
Job Duties
- Plan and coordinate activities and events
- serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external agencies for event planning and execution
- organize and facilitate meetings, including scheduling meetings and taking meeting minutes and notes
- compose and prepare written documentation and correspondence for the office
- monitor and coordinate accounting activities as appropriate and prepare internal reports for management
- gather, enter, and update data to maintain departmental records and databases and maintain files and records for the office
- assist with project development and planning to ensure more efficient service and organization of the office
