The position of Office Secretary II is an administrative role vital to the smooth operation of school offices within the district. Reporting to the Office Manager and/or Site Administrator, the Office Secretary II undertakes a wide variety of clerical duties essential to record-keeping, communication, and logistical support. This includes handling student records and sensitive information responsibly and maintaining compliance with Oregon's educational laws concerning student enrollment, immunization, and attendance.
The role requires proficiency in typing, filing, data management, and use of office technology to perform routine clerical functions effectively. Besides clerical tasks, the Office Secretary II assists with managing accounts for monies received, preparing simple statistical reports, supplying inventory management, and serving as a receptionist and initial contact point for the school community. Additionally, this role occasionally involves administering first aid to students in the absence of a school nurse, making it essential for the incumbent to hold valid first aid certification.
The working conditions involve primarily office settings, with prolonged periods of sitting, computer use, and some light physical activities like lifting office supplies. The role demands excellent organizational skills, attention to detail, multitasking abilities, and clear verbal and written communication skills. The position follows established business hours with occasional deadlines that require flexibility. Interaction with students, parents, staff members, and the community is frequent and requires professionalism and respect for cultural diversity.

Job Qualifications
