This exciting opportunity is to join the Department of Clinical Sciences as a Continuing Education (CE) Program Event and Hospitality Coordinator within the Translational Medicine Institute (TMI). This role is essential for coordinating logistics, planning, scheduling, and managing in-person experience for all CE Course attendees and stakeholders. The CE program aims to provide exceptional continuing education opportunities for veterinary professionals to enhance their knowledge and skills. Working closely with the CE Events & Hospitality Manager and broader team, the coordinator ensures the smooth execution of course events by handling all facets of front-of-course operations and hospitality logistics. Responsibilities include managing course registration, facilitating communication with participants, preparing course venues, assisting with audiovisual and technical support, and maintaining accurate records and budgets. The coordinator will act as a primary liaison, enhancing participant satisfaction, maintaining event quality, and supporting the department’s mission to deliver excellence in veterinary continuing education. The position demands exceptional organizational, interpersonal, and communication skills, as well as proficiency in project management tools and technology platforms such as Monday.com and Zoom. Job Requirements
- b.a.b.s. hospitality event management project management or related field
- 1-3 years of relevant professional experience with facility coordination
- 1-3 years of relevant professional experience with customer service
- demonstrated ability to organize prioritize and manage multiple work projects and types of activities while meeting deadlines
- troubleshooting problems and providing customer/stakeholder support
- excellent communication team interpersonal skills and customer service
- exemplary organizational detail and time management skills
- fluency in microsoft office suite (word excel outlook teams) and zoom

- successful completion of pre-employment criminal background check
Job Qualifications
- b.a.b.s. hospitality event management project management or related field
- demonstrated ability to organize prioritize and manage multiple work projects and types of activities while meeting deadlines or project management program certification (pmp)
- 1-3 years of relevant professional experience with facility coordination
- 1-3 years of relevant professional experience with customer service
- excellent communication team interpersonal skills and customer service
- exemplary organizational detail and time management skills
- fluency in microsoft office suite (word excel outlook teams) and zoom
- experience working in higher education preferred
- experience in veterinary continuing education preferred
- experience in event planning support coordination preferred
- experience and demonstrated excellence in customer service stakeholder support preferred
- experience developing and managing project budgets preferred
- experience with project management software monday.com and minimum of one area of certification in account management sales customer success developer or marketing preferred
Job Duties
- coordinate front of course operations for continuing education events serving as course host and primary liaison to ensure smooth professional and participant focused course delivery
- support continuing education health manager with pre event planning needs including coordination of facilities transportation catering scheduling instructor travel and lodging arrangements
- distribute pre course materials and information to participants and ensure all attendees receive required resources prior to and during courses
- prepare monitor and maintain course event spaces by arranging furniture setting up equipment displaying materials and ensuring spaces remain clean organized and ready for use and non teaching lab course events such as food and external course events adhere to scheduled start and end times and assist instructors and attendees in transitioning between sessions
- provide on site logistical and technical support including audiovisual setup and coordination with it for complex technical issues utilize technology platforms and tools to enhance course delivery and administration
- anticipate investigate and resolve participant or instructor concerns respond to emergencies according to established protocols and ensure participant safety at all times
- manage course registration and administrative processes including overseeing registrations processing payments maintaining participant records and ensuring accurate documentation including the daily transfer of course participants names and info from woocommerce into the monday.com master tracker
- assist the ceh manager with course budget tracking expense and revenue monitoring inventory management and preparation of reports on course enrollment participation and outcomes for stakeholders
