The American Friends Service Committee (AFSC) is an esteemed Quaker faith-based organization dedicated to promoting lasting peace with justice, serving as a practical expression of faith in action with impactful programs operating around the globe. In celebration of its 110th Anniversary, AFSC is planning a series of high-profile events scheduled to take place from April 2026 to April 2027. These events will culminate in an extraordinary celebration event in April 2027, marking 80 years since AFSC received the Nobel Peace Prize. The highlight will feature a distinguished cohort of Nobel Peace Prize laureates attending the AFSC Corporation Meeting. AFSC will host a high-level briefing at a prominent public venue in Philadelphia alongside a related peace concert in collaboration with Opera Philadelphia. Moreover, the celebrations may also include interactive forums where laureates engage with youth from Quaker schools, fostering intergenerational dialogue centered on peace and justice themes.
AFSC is seeking expert event planning consultants or firms to support the comprehensive planning and seamless implementation of these historic 110th Anniversary Celebration events. The selected consultant will play a vital role in coordinating various aspects of the program, ensuring a cohesive and impactful experience for all participants. Responsibilities encompass aligning with key partners such as Opera Philadelphia to plan and synchronize program elements, managing the logistical needs of Nobel laureates and other key attendees, including travel, accommodation, and security arrangements, and orchestrating engagement with VIPs and stakeholders to maximize attendance and fundraising opportunities.
The ideal event planning partner will bring deep expertise and experience in managing large-scale, high-profile events, ideally with a background working in social justice or nonprofit sectors. They will be adept at navigating complex coordination among multiple stakeholders and partners, with a proven ability to maintain timelines and budget adherence. The project requires active participation in monthly planning meetings, diligent progress monitoring, and strategic outreach to cultivate connections with potential funders and community stakeholders, particularly within the Philadelphia area.
This engagement offers a unique professional opportunity to contribute to a landmark anniversary celebration for one of the world’s leading peace organizations, showcasing talents in event management while supporting AFSC’s mission of peace and justice. The project period extends approximately from April 2026 through April 2027, allowing sufficient scope to design, plan, and execute an array of significant commemorative events. Job Requirements
- Bachelor's degree or equivalent experience in event management or related field
- Minimum of 3 years experience in event planning or coordination
- Demonstrated ability to manage complex event logistics and schedules
- Strong interpersonal and communication skills
- Ability to work flexible hours including evenings and weekends as required
- Proficiency in relevant project management and communication tools
- Legal authorization to work in the United States
Job Qualifications
- Proven experience in event planning for high-profile or nonprofit organizations
- Strong coordination skills with demonstrated ability to manage multiple stakeholders
- Familiarity with managing logistics for VIPs, including travel and security arrangements
- Excellent communication and organizational skills
- Ability to work collaboratively with diverse groups including cultural and faith-based organizations
- Experience in fundraising or stakeholder engagement is an asset
- Knowledge of Philadelphia-area event landscape is preferred
Job Duties
- Plan and coordinate key elements of the anniversary celebration program in collaboration with Opera Philadelphia
- Manage travel, accommodation, and security arrangements for Nobel Peace Prize laureates
- Participate in 2-4 planning meetings per month to ensure progress and alignment
- Coordinate with AFSC staff to keep planning on schedule and within budget
- Identify and research potential fundraising opportunities to connect AFSC with Philadelphia area stakeholders
- Coordinate attendance and engagement of key stakeholders and VIPs at events
- Support event implementation to meet organizational standards and objectives
