The Executive Meeting Manager position at Westward Look Wyndham Grand Resort & Spa plays a critical role in driving the resort's group sales and catering operations. This management-level role entails proactively sourcing, developing, and closing group business and catering opportunities while ensuring flawless execution of related events. The Executive Meeting Manager acts as an essential liaison between clients and hotel departments to deliver exceptional meeting and event experiences that exceed customer expectations and contribute to the property's revenue goals. Key responsibilities include managing client negotiations, conducting market research, creating and reviewing catering contracts, and coordinating event logistics such as Banquet Event Orders (BEOs), forecasting food and beverage requirements, managing room blocks, and facilitating communication with internal teams.
This position requires strategic thinking and a deep understanding of revenue management practices, including yield management techniques and competitive market analysis. The Executive Meeting Manager must effectively balance multiple tasks, prioritize leads and opportunities based on daily revenue objectives, and utilize various sales tools and resources to optimize financial results. Strong communication skills, both written and verbal, are essential to negotiate contracts, influence clients, and collaborate with hotel leadership. The role also involves maintaining regional visibility by attending trade shows, conducting site visits, networking within the local business community, and supporting promotional initiatives.
Ideal candidates for this role will have at least one year of relevant sales experience, preferably in hotel sales, catering management, or sales coordination. Proficiency with Microsoft Office, internet research, and database mining is expected. Candidates should exhibit problem-solving abilities, analytical thinking, and a proactive approach to managing responsibilities independently or as part of a team. A valid driver's license is required for travel and client engagement activities.

Job Qualifications

Job Duties
- Effectively attain assigned sales and revenue goals, as well as solicitation call goals
- monitor and evaluate trends within your market segment
- adhere to company regulations, standards, and sales metrics
- develop a full working knowledge of hotel operations and policies
- follow proper event management procedures including BEO creation, F&B forecasting, resume communication and room block management
- produce and review catering contracts and banquet/catering event orders
- listen and read customer to identify needs and respond accordingly
- prospect for new business using creative and innovative approaches
- weigh the value of each business opportunity during daily RevMax meetings
- negotiate room rates and function space commitments to enhance financial performance
- utilize Revenue Management resources to maximize revenue
- analyze pricing trends and their impact on occupancy and revenue flow
- capitalize on hotel strengths and competitor weaknesses
- seek continuous improvement in sales processes and systems
- respond to leads and RFPs within 24 hours
- maintain accurate and timely internal communication
- conduct site inspections, local sales calls, and attend trade shows and client events
- promote hotel through community and business networking involvement
- maintain strong visibility in local community and industry organizations
- attend meetings and perform additional duties as requested by management
