This position requires actively approaching and greeting visitors with a friendly and professional demeanor, quickly providing responsive assistance, and ensuring smooth communication between all involved parties including staff, transport services, and patients themselves. Responsibilities include operating the facility's Epic system for managing appointments, patient look-up, and transport requests, ensuring that all interactions are documented and handled efficiently. The role demands conflict resolution skills, problem-solving abilities, and the capacity to address patient or visitor concerns and complaints tactfully and effectively, including initiating recovery steps for service failures. Physical assistance is also a significant part of the job, including helping patients into and out of vehicles, escorting within and outside the facility, and maintaining a well-organized traffic flow in front of the premises. Given the physical nature of the duties, the representative must be capable of lifting, standing, walking extensively, and performing tasks under various weather conditions while maintaining a professional and courteous presence. The position demands intermediate computer proficiency, ideally with prior experience using the Epic system, excellent verbal and written communication skills, and the ability to work both independently and as part of a team. This is a dynamic and demanding role vital to delivering exceptional patient service and ensuring the facility operates smoothly and safely from the very moment someone arrives until they leave.

- life support training courses may be required dependent on department discretion
- excellent customer service, communication (written and verbal) and interpersonal skills
- intermediate computer skills (prior Epic experience is a plus)
- must be extremely accurate in a fast paced environment
- ability to manage multiple demands and priorities
- demonstrated ability to work as part of a team, independently and collaboratively

Job Duties
- Successfully manage the first and last impressions of the facility
- proactively approach, greet and acknowledge all in a friendly, professional manner and provide quick, responsive guest service
- answer telephone and make calls to department, units and outside organizations as requested
- successfully utilize the Epic system for appointment and patient look-up, input of transport requests
- properly communicate with all departments and transport companies on behalf of patients/visitors
- partner with all hospital staff
- problem-solve, manage conflict, address patient/visitor concerns and complaints, and initiate recovery steps for service failures
- assist in maintaining a smooth traffic flow at the entrances to the facility
- physically assist in the transport of patients/visitors through wheelchair use and escorting - both external and internal
- physically assist patients in/out of vehicles
- when required, provide symptom screening of patients/visitors entering the facility by asking structured health questions
