The Weekend Receptionist position at Lakeshore Assisted Living is a critical role that supports both the front office operations and human resources functions. This role involves working primarily on weekends, making it ideal for candidates seeking flexible employment while contributing to an important aspect of senior care services. The Weekend Receptionist is responsible for a variety of administrative and clerical duties that maintain smooth facility operations and uphold compliance with federal, state, and local regulations.
In this role, the Weekend Receptionist serves as the welcoming face of the community, greeting visitors and directing them appropriately. They also manage telephone communications, providing essential information about the facility and forwarding messages when necessary. Beyond front desk responsibilities, this position plays a significant part in human resources processes by assisting new hires with paperwork, maintaining confidential employee records, and inputting data into the Workday system. Additionally, the Weekend Receptionist supports payroll activities, including assisting with workers' compensation documentation and serving as the payroll representative in the absence of the Business Office Manager.
This role demands someone with strong communication skills, a calm demeanor, and the ability to make independent decisions as needed. Job Requirements
- high school diploma or equivalent
- ability to speak and understand the English language
- ability to make independent decisions when circumstances warrant such action
- ability to deal tactfully with personnel, residents, visitors, and the general public
- ability to be calm and level-headed in emergencies
- well groomed and professional appearance
- ability to work harmoniously with other personnel
- ability to follow written and oral instructions
- knowledge of computers, email, spreadsheets and word processing
- maintain patience, tact, cheerful disposition and enthusiasm
- ability to motivate and positively influence residents
Job Qualifications
- high school diploma or equivalent
- experience with human resources or administrative duties preferred
- proficiency in computer use including email, spreadsheets and word processing
- ability to communicate effectively and professionally
- experience in a customer service or reception role is beneficial
- knowledge of payroll processes is a plus
Job Duties
- ensure the CAPLICO core values and code of conduct are adhered to at all times
- assist all new hires with required paperwork and create personnel and confidential files
- enter all new hires into Workday
- interpret, apply and enforce facility policies and procedures
- maintain and update human resource records and forms
- maintain employee data in Workday
- ensure timely processing of personnel status changes
- assist with Leave of Absence requests in Workday and Matrix
- assist with Workers Compensation documentation
- assist with duties relative to the facility's overall payroll function
- serve as the Payroll Representative in the absence of the Business Office Manager
- assist department leaders with monitoring mandatory training compliance
- greet and direct visitors
- answer telephone and direct the caller to the appropriate staff or resident
- provide callers with information such as company address, directions to the office, fax numbers, company websites and other related information
- receive, sort and forward incoming mail
- coordinate the pick-up and delivery of express mail services such as Federal Express, UPS, etc.
- order, receive, stock and distribute weekly office supplies
- may assist in other clerical duties as assigned by the Executive Director or Business Office Manager
