Within this dynamic framework, the Receptionist plays a crucial role in enhancing the resident and visitor experience at Covenant Living. This position is responsible for greeting residents, staff, and visitors both in person and via telephone, ensuring that all interactions are handled in a positive and professional manner that reflects the values of the organization. The Receptionist serves as the initial point of contact, providing excellent customer service, managing communication flows, and supporting administrative functions vital to the smooth operation of the community.

The Receptionist's duties include answering telephone calls promptly with friendliness and professionalism, transferring calls appropriately, and taking accurate messages when necessary. The role demands vigilance in monitoring emergency systems and coordination with staff and emergency personnel as needed. The Receptionist is also tasked with managing visitor sign-in procedures, ensuring policy adherence through controlled access and proper identification, and maintaining cleanliness and organization of the reception desk and lobby areas.

Additional responsibilities involve facilitating transportation logistics for residents, assisting them with program and activity registrations and payments, and handling postal services including the sale of postage stamps and management of incoming packages. The Receptionist assists in maintenance request processing by entering requests into the system and alerting appropriate personnel to urgent matters. Financial duties include balancing the cash register and managing cash and check transactions.

This role requires proficiency in office equipment and software applications such as the Microsoft Office suite, along with the ability to train other staff members in the use of equipment. The Receptionist supports other departments by performing various clerical tasks as assigned and works closely with the Lead Receptionist to maintain an efficient and welcoming reception area.

The position offers a competitive hourly wage ranging from $19.50 to $22.50, with the precise rate determined by factors such as qualifications, experience, skills, and location. Job Duties

  • Answer all telephone calls as quickly as possible in a polite, personal, and friendly manner
  • transfer calls appropriately
  • take messages when the individual requested (resident or staff) is not available
  • monitor emergency system, direct staff to emergent situations, call emergency personnel as appropriate, complete resident checks as appropriate to specific desk
  • provide information to all visitors and direct them to the appropriate individual
  • ensure all visitors/contractors sign in and wear appropriate badges according to policy and procedure
  • ensure reception desk and lobby are kept clean and organized after each shift
  • facilitate transportation requests to appropriate staff, coordinate and communicate timing to residents and staff, place courtesy calls reminding residents of transportation trips
  • assist residents in signing up for programs and activities and collect payment
  • demonstrate knowledge of office equipment and monitor supplies
  • sell postage stamps to residents and staff, receive and sort mail and packages, inform residents/staff of packages to pick up
  • facilitate maintenance requests, input requests into system, communicate urgent or emergent situations to appropriate staff
  • complete monthly charge sheets in accordance with procedure
  • support other departments with clerical duties as assigned by Administrative Services Coordinator
  • support Lead Receptionist in clerical duties and maintenance of reception area
  • balance cash register/drawer including cash receipts and checks for individuals at the desk
