The Wedding Coordinator role at The Groton Inn is a full-time position that requires a flexible schedule including weekends, holidays, and evenings, as wedding events primarily occur outside regular business hours. Reporting to the Sales Director and Sales & Events Manager, this position is critical to ensuring flawless coordination and execution of on-site weddings.

The Wedding Coordinator acts as the primary liaison between engaged couples and the venue, managing all wedding-related details from initial tours and tastings to final planning meetings and day-of event coordination. The successful candidate thrives on multitasking and problem-solving, demonstrating exceptional organizational skills and a comprehensive understanding of wedding logistics. Job Requirements

  • High school diploma or equivalent
  • Prior wedding or event coordination experience
  • Ability to work flexible schedule including weekends holidays and evenings
  • Physical ability to manage day-of event coordination tasks
  • Proficiency in Microsoft Office
  • Excellent communication and interpersonal skills
  • Ability to remain calm under pressure
  • Must be located in or willing to relocate to Groton MA 01450
  • Must work in person at the venue

Job Qualifications

  • Wedding and event planning experience
  • Proficient in Microsoft Office programs
  • Experience with Delphi or similar sales event planning software is a plus
  • Ability to meet physical requirements of day-of coordination
  • Willingness to work a flexible schedule including weekends and holidays

Job Duties

  • Serve as the primary point of contact for couples guiding them through venue details including tastings and planning meetings
  • Conduct follow-up tours site visits phone and email communication to address client questions timely
  • Communicate venue logistics and policies clearly to clients
  • Create and manage detailed wedding day timelines
  • Develop comprehensive banquet event orders diagrams and supporting documents for each wedding event
  • Maintain coordination and communication with sales events banquet culinary facilities guest services and other internal departments
  • Serve as day-of coordinator managing event execution client expectations and vendor logistics
  • Lead rehearsal walk-throughs and contribute to pre-shift meetings communicating key event details to staff
  • Oversee event set-up and ensure adherence to property standards and venue policies
