The Concierge Event Planner will serve as a key strategic partner to a company principal/owner, managing a full spectrum of concierge travel and event planning tasks. This high-touch role demands a seasoned professional who can plan, coordinate, and execute over 50 VIP events annually, encompassing both personal and corporate contexts. The events vary widely from intimate gatherings such as a girl’s night or kid’s birthday party to grand-scale galas and weddings. The planner must show a proven ability to navigate complex travel logistics domestically and internationally, providing seamless concierge support before, during, and after events.
This individual will be entrusted with managing intricate itineraries and logistics, including detailed expense reporting while maintaining discretion and professionalism at all times. Collaboration is crucial; you will work closely with internal departments and external vendors, ensuring every event runs smoothly and exceeds expectations. Job Requirements
- Bachelor’s degree or equivalent experience preferred
- Minimum of 5 years experience in concierge event or luxury travel planning
- Proven track record as a personal assistant or executive assistant
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to manage complex itineraries and logistics
- Willingness to work flexible hours including evenings and weekends
- Ability to travel extensively both domestically and internationally
Job Qualifications
- Minimum of 5+ years experience in concierge event planning or VIP luxury travel concierge planning
- Minimum of 5+ years experience as personal assistant or executive assistant
- 10+ years of concierge event and travel planning experience preferred
- Exceptional organization, discretion, and communication skills
- Experience supporting company executives or VIPs personally
- Ability to travel up to 40% domestically and internationally for multi-day high touch events
Job Duties
- Plan and execute 50+ VIP high-touch events annually for owner personal and corporate schedule
- Plan social events such as girl’s nights, weddings, kid’s birthdays, and galas
- Coordinate complex domestic and international travel arrangements
- Provide on-site and off-site concierge support for events and travel
- Manage principals’ itineraries, logistics, and expense reporting
- Partner with internal teams and external vendors to ensure seamless event execution
- Maintain on-call availability including evenings and weekends
- Deliver high quality event strategy presentations to leadership
