The role of a Care Coordinator within this dynamic environment is vital to the hospital's success in providing superior care and exceptional service. The Care Coordinator acts as a linchpin between clients, pets, and medical staff by managing administrative and customer service tasks that enhance workflow and client satisfaction. This position is integral in managing patient flow in the lobby, communicating wait times and scheduling updates with clients, and prioritizing emergency cases effectively. The Care Coordinator’s duties also include handling billing and payment plans, performing cashiering duties, processing refunds and returns, and managing appointment scheduling. Proficiency in veterinary practice management software and familiarity with veterinary medical terminology and common emergency cases are important to confidently support the veterinary team and provide clear communication to clients.

This opportunity is specifically for night shift and weekend coverage, with shift differentials offered for these hours. Job Requirements

  • High school diploma or GED required
  • veterinary or medical reception experience required
  • ability to work 12-hour night shifts on Friday, Saturday, Sunday, or Friday, Saturday, Monday
  • availability to work holidays and overtime
  • part-time or PRN candidates considered

  • ability to communicate effectively with clients
  • proficiency with Windows computer systems

Job Qualifications

  • High school diploma or GED or equivalent combination of education, certification, training, or experience
  • veterinary or medical reception experience
  • ability to learn basic veterinary medicine terminology

Job Duties

  • Coordinate the flow of pets and owners in the lobby
  • communicate with owners about wait times, scheduling glitches, and other problems
  • identify potential emergencies in person and over the phone and schedule those appointments appropriately
  • organize and process all payment plans, billing statements, and collections
  • perform cashiering duties including processing refunds, returns, and credits as needed
  • respond to inquiries about services and species treated
  • input data into practice management software to check pets in, post to accounts, and compile data for reports
  • receive and distribute mail and process outgoing correspondence
  • coordinate and schedule appointments and provide clients with special instructions
  • call clients regarding medication pickups, invoice updates, or deposits needed
  • respond to client emails and process faxes
  • learn veterinary medical terminology and become familiar with common emergencies
  • use Windows based computer systems, word processing, email, and web search tools effectively
