The Client Service Representative role at I-20 Animal Hospital is a vital position designed to enhance the client experience by providing efficient, friendly, and knowledgeable service at the front lines of client interaction. The representative serves as the face and voice of the hospital, greeting clients warmly upon arrival and ensuring all communication via phone, mail, or email is handled promptly and professionally. This role involves managing the flow of pets and their owners through the facility, including processing check-ins and check-outs efficiently, and handling financial transactions accurately. Additionally, the Client Service Representative is responsible for maintaining a clean and welcoming environment in the waiting area, upholding the hospital's standards of care beyond just medical treatment.

Job Requirements

  • High school diploma or equivalent
  • prior experience in customer service or veterinary industry preferred
  • ability to work flexible shifts including weekends
  • excellent verbal and written communication skills
  • proficiency with computer software and data entry
  • ability to maintain confidentiality and professionalism
  • must be personable and able to interact positively with clients and staff

Job Qualifications

  • High school diploma or equivalent
  • previous experience in customer service or veterinary setting preferred
  • proficiency in using Cornerstone software or similar practice management tools advantageous
  • strong communication and interpersonal skills
  • ability to multitask in a fast-paced environment

Job Duties

  • Greet clients and provide excellent customer service
  • respond to client questions promptly and accurately
  • process incoming and outgoing pets efficiently
  • handle payments and maintain accurate transaction records
  • answer telephone calls, screen service requests, and schedule appointments
  • manage incoming and outgoing mail and email communications
  • monitor and maintain cleanliness of the client waiting area
  • document and update client information and service data using business operations software
  • escalate complex client issues to senior staff when required
