Job Description

Dogwood Trails Animal Hospital is a newly established, state-of-the-art small animal hospital located in Bentonville, Arkansas. Opening its doors in October 2024, Dogwood Trails has quickly become a trusted name in veterinary care, offering a wide range of services to ensure the health and well-being of pets at all stages of their lives. The hospital is equipped with the latest technology, including ultrasound, digital full-body and dental radiographs, and in-house diagnostics. This allows the veterinary team to provide comprehensive care, ranging from preventative treatments and soft tissue surgeries to dental care. Dogwood Trails prides itself on delivering compassionate, high-quality medical care and creating a welcoming environment for both pets and their owners.

The hospital is currently seeking a full-time Customer Service Representative to join its dedicated team. This role is critical as the first point of contact for veterinary clients, setting the tone for their entire visit. The ideal candidate will be a customer service professional who thrives in a fast-paced environment and is passionate about providing excellent care and service. The position offers a competitive wage of $16 to $18 per hour based on experience and skill set. Full-time employees work 35 hours weekly with a schedule that includes Monday from 8 am to 7 pm, Tuesday through Friday from 8 am to 6 pm, and Saturday from 8 am to 4 pm.

As a Customer Service Representative at Dogwood Trails, you will play a vital role in ensuring a positive experience for clients and their pets. Your responsibilities will include greeting clients, assisting with appointment sign-ins, confirming appointment details, and answering client inquiries. You'll also manage accurate accounting for service and product sales, handle payments, schedule future appointments, and make follow-up calls. A strong knowledge of veterinary terminology, common vaccination protocols, basic laboratory tests, common diseases, and pet behavior is important in this role to effectively support both the clients and the clinical team.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in customer service, preferably in a veterinary or medical setting
  • Strong communication and interpersonal skills
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Basic knowledge of veterinary terminology and pet care
  • Proficiency in using appointment scheduling and payment processing systems
  • Ability to work scheduled shifts including Saturdays

Job Qualifications

  • Previous experience as a veterinary receptionist or medical office assistant is preferred
  • Strong organizational and multitasking skills
  • Ability to maintain a calm, professional, and positive demeanor

Job Duties

  • Greet clients and their pets, complete the appointment sign-in process, confirm appointment details
  • Answer client questions and triage client concerns
  • Ensure accurate service and product sales accounting, handle payments, process credit/debit cards, and schedule future appointments
  • Answer client calls for appointments, hospital inquiries, medication refills, and other requests
  • Make outbound calls for appointment reminders and follow-ups
  • Understand common vaccination protocols, basic lab tests, common diseases, veterinary terminology, and pet behavior
  • Assist in maintaining cleanliness and organization to ensure a positive client experience
