The role of Hospital Concierge within the Vetco Total Care full-service veterinary hospitals is vital to providing excellent care and customer service. As the first and last point of contact for clients entering the hospital, the Concierge embodies Petco’s mission and values by delivering compassionate, professional, and efficient service. This position involves managing the hospital’s appointment calendar, answering phone calls, greeting clients and pets by name, and ensuring the waiting area is a safe, clean, and welcoming environment. The Concierge plays a critical role in maintaining smooth hospital workflow, which includes rescheduling appointments when necessary, communicating wait times, and supporting technical staff. This role requires exceptional communication skills, both written and verbal, alongside strong telephone and computer proficiency. Compassion and professionalism are essential, as the Concierge often deals with emotionally charged or challenging situations involving pet owners. The person in this position must be adaptable, capable of balancing the needs of clients, pets, and medical staff, and committed to creating optimal experiences for all stakeholders. Although no supervisory duties are assigned, the Concierge contributes significantly to the team by fostering cohesion and motivation within the practice. The position demands physical endurance, such as standing for long periods, occasional lifting up to 30 pounds, and sometimes bending or kneeling. Demonstrating a willingness to learn new practices and treatments is highly valued, as is prior experience in veterinary or customer-service roles. Job Requirements

  • High school diploma is a requirement
  • Must have at least 1 year's previous experience working in veterinary practice or a customer-facing role in another organization
  • Must have excellent written and verbal communication skills
  • Must be compassionate and sympathetic and be able to maintain a professional attitude and demeanor during emotional and stressful situations
  • Must have exceptional telephone and computer skills
  • Must be a team player willing to learn new techniques and treatments, offer creative ideas, and accept change
  • Preferred: Previous experience using a Practice Management System

Job Qualifications

Job Duties

  • Assume primary responsibility for answering the practice phone and routing calls appropriately
  • Maintain hospital appointment calendar including scheduling appointments from callers or visitors and reviewing on-line bookings
  • Greet all visitors to the practice
  • greet clients and patients by name as they arrive for appointments and notify technical staff when they arrive
  • Monitor wait times and make accommodation as necessary during peak/busy times or when medical staff is dealing with an emergency situation
  • Participate in the training of new staff members and general dissemination of knowledge as required
  • Ensure that the waiting area is consistently cleaned and well-stocked with appropriate materials
  • Confirm all appointments by client’s preferred communication method the prior day and make necessary adjustments
  • Possess basic understanding of practice logistical specifics to provide backup support to technical staff when rooms need to be loaded or patients need to be discharged and primary staff members are otherwise occupied
  • Perform additional duties as assigned
